Position Overview

Private Jet Center is seeking a highly organized, proactive, and professional Executive Assistant & Office Manager to support our CEO while overseeing daily office administration.


This role is ideal for someone who enjoys keeping busy schedules organized, managing details, and ensuring important tasks and follow-ups are completed accurately and on time. This role focuses on executive support and office administration, including calendar management, meeting coordination, travel arrangements, vendor coordination, event planning, and helping ensure important tasks and follow-ups stay organized and on track.


Key Responsibilities

  • Manage the CEO's calendar, appointments, travel arrangements, and meeting schedules.
  • Provide comprehensive administrative support to the CEO, including managing communications, follow-up items, and priorities.
  • Prepare professional correspondence, reports, presentations, meeting materials, and executive documentation.
  • Coordinate executive meetings, board meetings, client visits, and company events.
  • Serve as a liaison between executive leadership, employees, clients, vendors, and business partners.
  • Oversee daily office operations and maintain a professional, organized workplace environment.
  • Manage office supply, equipment, breakroom, and company merchandise inventory and purchasing.
  • Coordinate vendor relationships, including facility services, contractors, office equipment providers, and technology partners.
  • Process and track executive and office-related expenses, invoices, reimbursements, and purchase requests.
  • Maintain organized records, contracts, contact databases, and administrative documentation.
  • Support onboarding logistics, including workspace setup and coordination with Human Resources and Information Technology.
  • Welcome and assist office visitors, clients, vendors, and guests.
  • Support the CEO with special administrative projects and organizational initiatives as needed.
  • Proactively identify opportunities to improve administrative processes, organization, and office efficiency.
  • Perform other duties as assigned based on business needs.


Qualifications

  • 3โ€“5 years of experience supporting executives in an Executive Assistant, Office Manager, or related support role.
  • Experience supporting senior executives or C-level leadership strongly preferred.
  • Ability to exercise sound judgment, maintain confidentiality, and effectively manage sensitive information.
  • Strong organizational, problem-solving, and time-management skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to interact professionally with employees, clients, vendors, and executives.
  • Demonstrated ability to manage confidential and sensitive information with discretion.
  • Proficiency with Microsoft Office and calendar management tools.
  • Experience coordinating office operations, vendor relationships, and administrative processes.
  • Aviation industry experience is a plus but not required.
  • Must successfully complete all required pre-employment screenings, including background checks and drug testing.
