Office Manager / Administrator

Sky Water Fire Protection Inc. is looking for an experienced Office Manager / Administrator to join our team.

We are looking for someone who can take responsibility for the day-to-day administration of our office and help keep our operations organized and running efficiently.

Responsibilities

  • Manage daily office operations and administrative tasks
  • Coordinate technician schedules, inspections, repairs, and installations
  • Answer and manage phone calls, emails, and customer communications
  • Communicate with customers, property managers, inspectors, technicians, and vendors
  • Prepare and maintain estimates, invoices, work orders, reports, and job files
  • Track appointments, projects, permits, inspections, and follow-ups
  • Assist with accounts receivable, accounts payable, and payment tracking
  • Maintain accurate customer and company records
  • Assist management with daily business operations and special projects
  • Ensure office tasks and follow-ups are completed on time

Required Experience & Skills

  • QuickBooks experience – required
  • Microsoft Excel – required
  • Microsoft Outlook – required
  • Strong knowledge of Microsoft Office
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to coordinate multiple schedules and priorities
  • Professional customer service skills
  • Ability to work independently and take initiative
  • Previous office management or administrative experience preferred
  • Construction, contracting, or fire protection industry experience is a plus
  • Bilingual English/Spanish is a plus
