Overview: The Client Service Specialist is a foundational role on the PrimeNumbers team, supporting the financial process for a portfolio of small business clients across client service, bookkeeping, and administrative functions. It's a hybrid role that touches client relationships, hands-on accounting work, and internal operations.

Responsibilities:

Client Service

  • Greet clients and communicate professionally and respectfully
  • Facilitate and resolve client service requests (in person, email, phone)
  • Follow and help refine office procedures/workflows, recommending improvements
  • Execute new client onboarding (document collection, software setup, CRM entry)
  • Maintain timely, accurate data and notes in the CRM database


Bookkeeping & Accounting Support

  • Help organize client financial information and confirm its accuracy/accessibility for the team
  • Perform entry-level bookkeeping: transaction entry/categorization in QuickBooks Online (or similar), and weekly/monthly bank and credit card reconciliations
  • Process routine AP/AR: enter vendor invoices, prepare client invoices, track outstanding balances
  • Organize and prepare client documentation (scanning, uploading to Canopy) to support tax preparers and senior staff, especially during tax season
  • Assist with payroll division administrative/operational functions, including basic payroll data entry and timesheet verification
  • Maintain strict confidentiality of client financial and personally identifiable information per firm policy


Administrative

  • Participate in recurring meetings to help the firm stay ahead in client financial management
  • Prepare special reporting to support better management of the firm and/or its clients
  • Meet recurring monthly close and reporting deadlines, with awareness that hours may increase during tax season and other seasonal peaks
  • Update and manage internal SOPs whenever changes are made, keeping an active current version available to staff
  • Participate in other administrative and accounting functions for existing clients

Qualifications:

  • Associate's degree, or Bachelor's degree preferred, or equivalent combination of education and experience
  • Have a minimum of 2-4 years in an office setting, preferably centered around the financial industry; prior bookkeeping experience is a plus but not required, as training will be provided
  • Extraordinary communication skills, as constant interaction between team members and clients is done
  • Comfort working with numbers and attention to detail for entry-level bookkeeping tasks
  • Ability to lead other teammates and assist with career development
