What is an online bookkeeper?

An online bookkeeper is a professional who manages financial records, transactions, and reports for businesses or individuals remotely using cloud-based accounting software. They handle bookkeeping tasks such as recording expenses, reconciling accounts, preparing financial statements, and ensuring accuracy in financial documentation. Online bookkeepers provide flexibility and convenience, allowing clients to access their financial information from anywhere with an internet connection. This role is essential for keeping businesses organized and compliant with financial regulations.

What is the difference between Online Bookkeeper vs Bookkeeping Clerk?

AspectOnline BookkeeperBookkeeping Clerk
CredentialsTypically requires bookkeeping certifications or experienceMay require basic education, less certification
Work EnvironmentRemote or online settingOffice or on-site environment
Job ResponsibilitiesManaging accounts, reconciling, financial reportingData entry, invoice processing, basic record keeping
Industry UsageCommon in freelance, small business, or remote accounting firmsFound in corporate offices, retail, or administrative settings

The Online Bookkeeper typically handles more complex financial tasks remotely and often requires certifications, while a Bookkeeping Clerk performs basic data entry and record-keeping tasks in an office setting. Both roles support financial operations but differ in scope and work environment.

How do I become a virtual bookkeeper?

To become a virtual bookkeeper, you typically need a high school diploma or equivalent, proficiency with accounting software like QuickBooks or Xero, and knowledge of bookkeeping principles. Many employers prefer candidates with relevant certifications such as the Certified Bookkeeper (CB) or QuickBooks Certification. Gaining experience through internships or entry-level positions can also improve job prospects in a remote setting.

What Does an Online Bookkeeper Do?

Online bookkeepers are responsible for some or all of the financial accounts for their employer. They may work as an individual or within a department to manage all accounts payable and accounts receivable within the organization, depending on the size and needs of the company. Instead of working in the office, an online bookkeeper works remotely from home or a location of their choice with an internet connection. They may work on the staff at the company or they may be self-employed. Their job duties are to record all transactions, post debits and credits into a general ledger, and produce financial statements and other reports for the management of the company. An online bookkeeper also spends time reconciling reports and checking for accuracy.

Is AI replacing bookkeepers?

AI is automating certain tasks in bookkeeping, such as data entry and reconciliation, but it does not fully replace the role of an online bookkeeper. Bookkeepers still need to interpret financial data, ensure accuracy, and provide insights, which require human judgment and expertise. Many bookkeepers now use AI tools to increase efficiency while focusing on more complex financial analysis and client communication.

What are the key skills and qualifications needed to thrive as an Online Bookkeeper, and why are they important?

To thrive as an Online Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and often a relevant certification such as a Bookkeeping or Accounting diploma. Familiarity with cloud-based bookkeeping software like QuickBooks Online, Xero, or FreshBooks is typically required. Strong organizational skills, integrity, and effective communication help you manage client relationships and handle sensitive financial data. These skills ensure accurate financial records, compliance, and efficient remote collaboration with clients or teams.

How does an online bookkeeper typically collaborate with clients and team members remotely?

Online bookkeepers generally use cloud-based accounting software and secure communication tools to work with clients and colleagues. Regular virtual meetings, shared document platforms, and real-time chat apps are common for discussing financial updates, clarifying transactions, and addressing questions. Effective communication and timely reporting are essential, as bookkeepers often collaborate closely with accountants, business owners, and sometimes tax professionals to ensure accuracy and compliance. Being proactive in reaching out and maintaining organized digital records helps foster trust and efficiency in a remote work environment.

Can you make $100,000 as a bookkeeper?

Online bookkeepers typically earn between $40,000 and $60,000 annually, with experienced professionals or those working for large firms potentially earning higher salaries. Reaching $100,000 usually requires advanced skills, specialization, or managing multiple clients, and is less common for entry-level or standard roles.

Can you really make money online bookkeeping?

Online bookkeepers can earn income by providing remote accounting and bookkeeping services to clients, often working as freelancers or through bookkeeping firms. Success depends on skills with accounting software, certifications, and building a client base, with earnings varying based on experience and workload.
