Role

We are seeking a Document Control Specialist to join our Thacker Pass team. In this role, you will be responsible for electronically managing documents and records, maintaining an organized and detailed library of project, process, and operational documentation, and ensuring data integrity and compliance with document control procedures.

The Document Control Specialist will primarily use Hexagon SDX and related systems to administer and control documents that are received, created, or issued as part of the operation of the Thacker Pass Lithium Carbonate Production site. This is a unique opportunity to contribute to a mission-driven organization committed to innovation, sustainability, and leadership in the clean energy sector.

The role is based at our Winnemucca, NV office during construction and will transition to the Thacker Pass site near Orovada, NV during commissioning and operations. The role reports to the IT Manager. Occasional travel to other LAC offices, project sites, or vendor locations may be required.

Key Responsibilities

  • Provide leadership of and promote Lithium Nevada's safety-first culture. Ensure strict compliance with OSHA and MSHA regulations as well as Lithium Nevada's site-specific safety program. Perform all engineering activities with a safety-first mindset. Promote and foster employee "stop work" authority.Identify,reportand mitigate safety hazards and observations as part of daily activities and safety walks. Champion safety standards and promote communication and accountability within all production areas.Support pre-commissioning, commissioning, and start-up activities for the Thacker PassMine andLithium Processing Facility in close coordination with Mining, Commissioning, and Start-Up teams
  • Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements.
  • Consults with end users to identify and resolve issues in accessing electronic content.
  • Ensures security of systems and integrity of master documents by implementing document and system access rights and revision controls.
  • Ensures company compliance with applicable laws and regulations regarding data security and document management.
  • Communicates and collaborates with staff when assessing, acquiring, or deploying new electronic document management systems to ensure smooth integration and minimal disruption.
  • Maintains current knowledge of best practices and developments in document management technologies and techniques through professional organizations, conferences, and training.
  • Maintains an updated document review and distribution matrix.
  • Coordinates transmittals and issuances of all documents between appropriate groups and creates reports for verification and auditing purposes.
  • Assists company and contractor teams in document searches and retrieval upon request.
  • Ensures proper identification and classification of documents according to company requirements.
  • Oversees and maintains access requests and user permissions within document control systems.
  • Creates and maintains document control onboarding and offboarding procedures.
  • Builds and maintains trusted relationships across all teams while championing a culture that reflects and supports our Purpose, Vision, and Values.
  • Perform other duties as assigned

Required Qualifications

  • Bachelor's degree in business administration, information technology, or related field, or equivalent work experience.
  • Three (3) or more years of experience in document control, records management, or a related field preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office 365 applications (Word, Excel, Outlook, Teams, etc.); familiarity with MS Teams and SharePoint preferred.
  • Experience with Hexagon SDX or other document management systems preferred.
  • Willingness to learn Engineering Smart Tools systems.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of laws and regulations regarding document management and data security.
  • Strong analytical and technical skills with the ability to creatively solve problems.
  • Familiarity with engineering deliverable types and formats preferred.
  • General project experience required; operations experience a plus.
  • Ability to handle multiple responsibilities and follow through to completion.
  • Ability to work effectively in a fast-paced and dynamic environment.
