Job Title: Data Entry Supervisor – Medical Billing
Job Description
This role leads a growing medical billing team that manages end-to-end in-house billing operations for a fast-growing fertility and gynecology clinic. The supervisor oversees all aspects of billing and charting for medical and laboratory procedures, including endocrinology, andrology, and embryology services, with a strong focus on insurance authorizations, claims management, and accurate use of EMR systems. This position offers the opportunity to shape billing processes, support an expanding lab service line, and step into a leadership role without requiring prior supervisory experience.
Responsibilities

Oversee and lead a team of medical billers, with responsibility for all in-house billing from start to finish.

Ensure accurate billing and charting of all medical procedures and all laboratory procedures, including endocrinology, andrology, and embryology lab services.

Develop, maintain, and enforce proper billing procedures, with particular focus on expanding laboratory services.

Oversee the end-to-end handling of insurance authorizations, including obtaining, tracking, and updating authorizations as needed.

Manage insurance claims processing, including claim submission, follow-up, corrections, and resubmissions to ensure timely reimbursement.

Monitor billing workflows to ensure accuracy, compliance, and efficiency in all billing and collections activities.

Collaborate closely with clinical and administrative staff to ensure proper documentation and coding for billed services.

Use EMR systems such as EPIC, eClinicalWorks (ECW), and Athena to review charts, verify information, and support accurate billing.

Communicate with patients regarding billing inquiries, explaining charges, insurance coverage, and payment responsibilities in a clear and professional manner.

Identify billing issues, trends, and discrepancies, and implement corrective actions to reduce denials and improve collections.

Support the growth of the billing team by contributing to training, onboarding, and day-to-day guidance for new and existing team members.

Maintain up-to-date knowledge of medical and laboratory terminology and apply it to billing and coding processes.

Collaborate with leadership to refine billing policies and procedures as the clinic and lab services expand.
Essential Skills

More than 5 years of medical billing experience.

Hands-on experience with insurance authorizations and claims management.

Proficiency with EMR systems such as EPIC, eClinicalWorks (ECW), and Athena.

Strong knowledge of medical and laboratory terminology, particularly related to endocrinology, andrology, and embryology services.

Experience in medical billing, insurance authorization, and insurance claims processing from start to finish.

Ability to oversee billing workflows and ensure accurate billing and charting for medical and lab procedures.

Strong communication skills for interacting with patients about billing inquiries and working with internal teams.

Attention to detail and accuracy in handling claims, authorizations, and collections.

Ability to work in a leadership capacity, overseeing a team of billers, even without prior formal supervisory experience.
Additional Skills & Qualifications

Certified Professional Coder (CPC) certification preferred for the supervisor role.

Experience working in fertility, gynecology, or similar medical specialties is beneficial.

Background in claims, insurance, and authorizations within a healthcare setting.

Experience with collections and follow-up on outstanding claims and patient balances.

Comfort working in a growing organization and adapting to evolving processes and team structures.

Work Environment
The role is based in New York City with a strong preference for an on-site team, although a hybrid arrangement may be possible for the right candidate. When on site, the supervisor works from a midtown Manhattan office alongside the billing team and clinic staff. The current billing team consists of four members, with plans to approximately double the team size over the next few weeks, creating a dynamic and growth-oriented environment. The standard schedule is Monday through Friday, with negotiable hours; typical shifts include 8:00 a.m.–4:00 p.m., 9:00 a.m.–5:00 p.m., and 11:00 a.m.–7:00 p.m. The clinic emphasizes a professional setting that supports collaboration, leadership development, and the opportunity to contribute to a fast-growing fertility and gynecology practice.

Pay and Benefits
The pay range for this position is $104000.00 - $120000.00/yr.
