UNIVERSITY OF ILLINOIS FOUNDATION has an immediate opening for an Representative, Cash Receipts
The University of Illinois Foundation (Foundation) is the official fundraising and private gift-receiving organization of the University of Illinois (University). It works closely with alumni and friends, faculty and staff, corporations and foundations, as well as campus development professionals to create fundraising programs and opportunities that benefit the University.
This position is responsible for a variety of accounting and complex duties using discretion and independent judgement with regard to the processing of gifts, non-gifts, and adjustments on a daily basis. Provides donors and University units with accurate instructions and documentation for receiving different types of transactions which include check, credit card, ACH, wires, and securities.
DUTIES AND RESPONSIBILITIES:
  • Process and classify items received through the Foundation's lockbox, Cash Receipts Office, Chicago Gift Processing Office, and Springfield Gift Processing Office, determining appropriate categorization (gift, grant, contract or estate gift) and ensuring compliance with accounting policies and procedures.
  • Enter, store and retrieve information related to all gifts and non-gifts using Hyland OnBase, maintaining accurate documentation and filing of all transactions, reports and ledgers.
  • Provide excellent customer service to donors, companies, and University colleagues through email and phone correspondence, assisting with recurring gift maintenance, providing documentation, and offering additional support as needed.
  • Process manual credit card transactions through the Foundation website, handle credit card refunds approved by the Director, and work with units using Square readers to reconcile events with receipts.
  • Research and record Foundation gifts inadvertently deposited into University accounts, coordinating with University accounting to ensure proper gift processing.
  • Assist with special projects and perform related duties as assigned by the Manager and Director of Cash Receipts.

REQUIRED QUALIFICATIONS:
  • Bachelor's degree with a minimum of three years related work experience
  • Strong customer service skills with ability to work with diverse constituent groups
  • Excellent attention to detail, organizational abilities, and communication skills
  • Proficiency in learning position-related software and databases
  • Ability to work both independently and collaboratively, recognizing priorities to meet deadlines

PREFERRED QUALIFICATIONS:
  • Experience with accounting or business-related fields with knowledge of customary cashiering tasks.
  • Familiarity with the University of Illinois Foundation and University of Illinois administrative systems and procedures.
  • Experience with Hyland OnBase and/or the donor Tracking and Engagement Database (TED).
  • Familiarity with University Advancement activities.

The starting salary range for this position is projected to be $40,000 - $45,000 per year. This is a salaried non-exempt role. While our job postings include salary ranges, your compensation will be based on your specific experience and qualifications-we're not limited by these posted ranges.
