Job description

Position: Administrative Assistant

Reports to: Assistant General Manager

Employee Type: Full-Time; Non-Exempt

Location: Duluth, GA

Pay Range: $18.00 – $22.00 per hour, depending on experience


Summary:

The Administrative Assistant supports the Office Manager with clerical duties, customer communication, and coordination with delivery teams, field employees, and GE representatives.


Essential Duties and Responsibilities:

• Make outbound calls to customers to schedule deliveries.

• Field inbound calls from customers, delivery teams, and GE representatives.

• Maintain accurate records of scheduled deliveries and service requests.

• Assist with general office tasks, such as filing, data entry, and document preparation.

• Support communication between office staff, warehouse staff, and field employees.

• Responds to and resolves administrative inquiries and questions.

• Coordinates and schedules travel, meetings, and appointments for managers or supervisors.

• Prepares agendas and schedules for meetings.

• Records and distributes minutes or other records for meetings.

• Maintains office supplies and coordinates maintenance of office equipment.

• Performs other related duties as assigned.

  • Teamwork – Coordinate and communicate with team members, follow through on commitments, and accept personal accountability for results. Offer assistance and support to colleagues. Exchange ideas and provides supportive contribution to move the team forward. Ability to identify and regulate the impact of one’s emotions on others and identify and manage the emotional reactions of others.
  • Accountability & Reliability - Take ownership and responsibility for decisions, actions, and results, delivering on commitments. Complete job duties with minimal supervision, adapting to priority changes, as needed. Acknowledge and learn from mistakes, taking appropriate action to fix problems and reduce future errors. Demonstrate regular and punctual attendance including to all scheduled meetings.
  • Compliance & Quality – Ensure accuracy, meet established deadlines of work, produce a quality product/service and show commitment to continuous improvement efforts. Respond to requests in a timely and effective manner and provides quick resolution to customer issues. Able to learn, understand, and comply with all company policies, procedures and regulations.


Required Skills/Abilities:

• Excellent verbal and written communication skills.

• Strong organizational and multitasking abilities.

• Proficiency in Microsoft Office Suite and ability to learn logistics software.

• Problem-solving skills and ability to work in a fast-paced environment.

• Bilingual (English/Spanish) preferred, not required.


Education and Experience:

• High school diploma or equivalent required; associate degree preferred.

• Previous administrative or customer service experience preferred.


Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer

• Must be able to lift up to 25 pounds at times

• Corrected vision to normal range; normal hearing and talking is required for verbal communications

• Ability to use a variety of office equipment and machines
