Summary: The Business Administration Assistant oversees the administration functions of the business, ensuring accurate invoicing, efficient accounts payable processing, consistent financial controls and operational reporting. This role serves as a key resource for the branch manager by providing accurate administration, reporting and operational support, assists with management coverage when needed, supports the General Manager, and any other tasks that are assigned.
Key Responsibilities:
Front Counter
• Meet and greet customers in a welcoming fashion.
• Answer phones in a friendly, upbeat manner.
• Assist branch manager with any tasks needed to complete customer transactions.
• Open and close branch when needed to assist branch manager.
• Maintain a clean and organized office environment.
Accounts Payable
• Manage the accounts payable process, ensuring timely payment and accurate payment of vendors.
• Review invoices for proper coding and supporting documentation.
• Monitor payment schedules and assist with resolving vendor concerns.
• Maintain compliance with company financial policies and internal controls.
Inventory Control
• Monitor inventory levels on all stocking products.
• Ensure accurate levels of all stocking products.
• Adjust inventory as need to main accuracy per branch manager.
Cash & Financial Administration
• Monitor and reconcile cash and credit card pending balances
• Support month-end and year-end financial close activities as required.
Management Support
• Provide leadership support during manager absences to ensure uninterrupted business operations.
• Support special projects and company initiatives as assigned by senior leadership.
Qualifications:
• Strong knowledge of invoicing, accounts payable, accounts receivable, and financial administration.
• Excellent organizational, analytical, and problem-solving skills.
• Ability to train, coach, and support management teams.
• Strong communication and leadership capabilities.
• Ability to manage multiple priorities while maintaining attention to detail.
• Two to four years related experience or equivalent combination of education and experience.
• Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondences. Ability to effectively present information in one-on-one and small group situations to customers, clients and other team members in the organization.
• Ability to read and interpret documents such as safety rules, operating and procedure manuals. Ability to write routine reports and correspondence.
• Ability to respond to common inquiries or complaints from customers. Ability to present information to branch manager and/or General Manager.
• Ability to calculate figures and amounts such as discounts, commissions and percentages.
• Apply common sense understanding to carry out detailed written and oral instructions. Ability to deal with problems and concerns.
