The Billing Assistant is responsible for assisting the billing manager in billing operations for all agency locations. The individual is responsible for filing claims, auditing claims, and correcting claims all in a timely manner. (This is not a remote position)
Billing Assistant Essential Functions:
  • Assist Billing Manager and Appeals Manager with billing operations of agency on a daily basis as it relates to the agency finance unit.
  • Billing, audit, correcting and appealing on a weekly basis.
  • Follow the billing protocol of each individual contract when in-network.
  • Submit claims via EDI or drop to paper as designated by Payer.
  • Check with a representative from the insurance company to see if you must file on a UB04 or CMS1500. Also check with the representative or the contract with the insurance company regarding coding, HCPCS, coverage, contracted rates, etc.
  • Prepare and mail statements as needed
  • Report delinquent accounts to the billing manger.
  • Daily auditing of claims spreadsheet to make sure no claims are filed outside to the timely filing deadlines.
  • Assist appeals manager with daily appeals and appeal projects.

Billing Assistant Financial and Supervisory Functions:
  • Ensure daily auditing of rates, quantity, and type of charge against contracts and tariffs for all monthly recurring, usage, and one time charges.
  • Responsible for timely and accurate audit and billing disputes and release of all telecommunications and support services invoices for prompt payment.
  • Responsible for developing and maintaining a dispute management and escalation process including the filing disputes when billing errors are identified and tracking disputes through resolution within specified time period. Responsible for tracking/reporting of disputes as well as escalation to Regulatory when warranted.
  • Assure the rules governing conduct on Medicaid billing and other private insurance.
  • Maintain CONFIDENTIALITY of all patient information. Assure that the patient's rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights including the right to wage complaints are well established and maintained at all times.

Billing Assistant Qualifications:
  • Bachelor's degree preferred.
  • Experience in medical billing
  • Capable of working under stress and maintaining a team spirit.
  • Create and assess billing statements.
  • Communicate effectively in both written and verbal form.
  • Proficient at MS Office (especially Excel).
  • Stay up to date with new billing regulations.
  • Must be able to handle multiple tasks efficiently and without direction.
  • Must be a self-motivator and require little supervision.
  • A valid driver's license and a good driving record (as determined by the employer) is required for this position.
