Job Summary

We are seeking a highly organized, proactive, and versatile Senior Executive Assistant & Operations Lead to provide high-level administrative, operational, and financial support to executive leadership. This role serves as a key strategic partner to C-suite leadership, handling complex calendar management, business operations, budget tracking, corporate credit card reconciliation, and project coordination. The ideal candidate brings a blend of corporate acumen and discretion, with proven experience managing both high-stakes business operations and high-priority personal executive lifestyle matters. Bilingual fluency in Spanish (written and verbal) and a Bachelor’s degree in a business-related field is required.

Executive Leadership Support
  • Partner with executive leadership to manage priorities, schedules, and strategic initiatives
  • Coordinate complex calendars, meetings, travel arrangements, and executive communications
  • Prepare reports, presentations, briefing materials, and meeting agendas
  • Attend leadership meetings, document key decisions, and monitor follow-up on action items
  • Manage confidential and sensitive information with professionalism and discretion
  • Anticipate executive needs and proactively resolve scheduling and administrative challenges
Business Operations
  • Oversee daily administrative operations to ensure efficiency and consistency
  • Develop and implement processes that improve workflow and operational effectiveness
  • Coordinate cross-functional projects and monitor progress to meet organizational goals
  • Serve as the primary liaison between executives, internal departments, clients, and external partners
Financial & Administrative Management
  • Prepare, review, and reconcile executive expense reports and corporate credit card statements
  • Review executive credit card activity to ensure accuracy, appropriate coding, policy compliance, and timely reconciliation
  • Assist with budget tracking, financial reporting, invoice processing, and vendor management
  • Maintain accurate financial documentation and ensure compliance with company policies
Project & Office Management
  • Coordinate executive events, board meetings, and company functions
  • Support onboarding activities and administrative coordination for new team members
  • Maintain organized filing systems, records management, and business documentation
  • Continuously identify opportunities to improve executive support processes and operational efficiency
Qualifications
  • Required: Bachelor’s degree in Business Administration, Finance, Management, or a related field preferred
  • Required: Bilingual Spanish – Read, Write & Speak
  • Required: Prior work-related experience supporting senior executives or leadership teams
  • Required: Extensive experience reviewing corporate credit card statements, preparing executive expense reports, budgeting, and financial reconciliation utilizing accounting software systems
  • Strong background in executive administration, business operations, and financial administration
  • Experience supporting executives with confidential personal matters and lifestyle management is highly preferred
  • Advanced proficiency with Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, and Word
  • Experience with ERP, accounting, and expense management systems such as NetSuite is preferred
  • Exceptional organizational, analytical, and problem-solving skills
  • Excellent written and verbal communication abilities
  • Proven ability to manage multiple priorities while maintaining attention to detail
  • High level of integrity, professionalism, discretion, and sound judgment
