We are currently seeking a high-caliber, bilingual Executive Assistant & Founders Associate based in South America to directly support the Founder of a cutting-edge Artificial Intelligence (AI) company based in the United States.
This is a unique, hybrid role. You won't just be managing a calendar; you will act as a true operational partner, handling both high-level executive administration and Founders Associate-level business operations. If you thrive in fast-paced tech environments, possess exceptional business acumen, and can solve operational problems from multiple angles, this role is for you.
Key Responsibilities:
  • Executive Correspondence: Manage inbox and drive professional communication with C-Suite executives from major global tech partners.
  • Calendar & Pipeline Management: Oversee complex scheduling and follow up on business deals to keep the pipeline moving.
  • Contract & Legal Operations: Review contracts/legal documents, spot operational gaps, follow up on deals, and assist in closing contracts.
  • Financial Admin: Manage invoices, billing processes, and basic workflows via Stripe.
  • Content & Systems: Create high-quality business presentations/decks and organize company workflows using Notion.
  • High Responsiveness: Maintain an extremely proactive communication loop, responding within minutes during Eastern Time (EST) working hours.

Tools & Platforms Required:
  • Notion (Advanced workspace management)
  • Stripe (Invoicing and billing)
  • Presentation Software (PowerPoint, Google Slides, or Keynote for high-level deck creation)
  • Contract/Legal Document Review Tools

Qualifications & Requirements:
  • Bilingual English/Spanish: Exceptional, professional verbal communication.
  • Exceptional Written English (Non-AI): This is non-negotiable. The client trains AI models professionally and is highly sensitive to AI-generated text. Your writing must be natural, high-caliber, and completely human.
  • Proven Experience: Prior experience supporting C-Suite executives, Founders, or working in Tech/AI startups.
  • Legal/Contract Acumen: Strong capability to review documents, identify gaps, and manage contract lifecycles.
  • Autonomy: High level of independence; ability to operate with minimal supervision and high accountability.

  • USB Headset with Noise Cancellation feature
  • Working Webcam
  • Computer with at least 1.8 GHz processor and at least 4GB RAM
  • Main Internet Service Speed: at least 25 Mbps cable connection
  • Backup Internet Service Speed: at least 10 Mbps
