Job description

The Benefits Administrator supports the day-to-day administration of employee benefits and leave of absence programs with a focus on accurate processing, data management, vendor coordination, compliance, and employee support. This role serves as a key resource for employees navigating benefit elections, leave requests, and related programs, ensuring a positive employee experience through timely communication and responsive service. The Benefits Administrator partners with internal stakeholders and third-party administrators to support efficient benefits and leave operations, maintain data integrity, and ensure compliance with applicable laws, regulations, and company policies. The ideal candidate is detail-oriented, customer-focused, and comfortable managing sensitive information, complex processes, and employee inquiries.

What You'll Do:

Benefits Administration & Processing

  • Process employee benefit enrollments and changes in HRIS. Ensuring accuracy and timeliness.
  • Review and reconcile benefits data to confirm correct deductions, eligibility, and coverage.
  • Troubleshoot and resolve discrepancies related to benefits transactions and payroll deductions.

Leave of Absence Administration

  • Serve as the primary internal point of contact for employees regarding leaves of absence, including FMLA, state and local leave programs, ADA accommodations, parental leave, personal leave, and disability-related absences.
  • Coordinate leave administration activities with third-party leave administrators, payroll, managers, and HR partners to ensure accurate tracking and timely communication.
  • Monitor leave status updates and ensure accurate recording of leave information within HR systems and Payroll.

Employee Support & Customer Service

  • Respond to employee inquiries regarding benefits programs, eligibility, claims issues, and enrollment processes in a timely and professional manner.
  • Provide clear, accurate, and empathetic communication to enhance the employee experience.
  • Maintain and update company intranet Benefits pagesย 

Compliance & Documentation

  • Support compliance with applicable benefits regulations by maintaining accurate records and documentation.
  • Assist in preparing required letters, filings, and audit support materials.
  • Assist in pulling and preparing reports for benefit invoicesย 
  • Ensure adherence to internal policies and procedures.

Vendor Coordination

  • Coordinate with benefits vendors and third-party administrators to resolve employee issues and ensure smooth service delivery.
  • Track and follow up on outstanding vendor issues and support service level expectations.

Wellness/Events Support

  • Assist in coordinating wellness initiatives and benefits-related events (e.g., open enrollment, flu clinics, educational sessions).
  • Support efforts to increase employee awareness and participation in benefit programs.

What You'll Bring:

  • 2โ€“4 years of experience in benefits administration, leave administration or a related HR function
  • Basic understanding of employee benefits programs (health, welfare, retirement)
  • Working knowledge of FMLA, ADA, state paid family and medical leave programs, disability benefits, and leave administration practices preferred
  • Familiarity with HRIS systems and benefits administration platforms
  • Experience working with data, reports, and file feeds preferred
  • Strong attention to detail and ability to manage multiple tasks accurately
  • Effective problem-solving and organizational skills
  • Strong written and verbal communication skills
  • Customer-service oriented with the ability to support employees through sensitive and complex situations
  • Interest in human resources or benefits administration, with the ability to support a team
  • Associateโ€™s or Bachelorโ€™s degree in Human Resources, Business, or related field preferred

This salary range for this role is $60,000 - $75,000.

This position is classified as remote but is tied to our New York, NY office located at 120 Broadway.ย Employment is subject to New York State tax withholding under applicable regulations.ย
