Job Title: Administrative Receptionist

Summary: An Administrative Receptionist serves as the first point of contact for visitors and callers, providing administrative support, including scheduling, and ensuring the smooth operation of the front desk. This role requires excellent communication skills, professionalism, and the ability to handle various administrative tasks efficiently.

Responsibilities:

  1. Reception Duties:
    • Greet visitors, clients, and employees in a professional and friendly manner.
    • Answer incoming calls, transfer calls to appropriate personnel, or take messages as needed.
    • Manage the reception area, including maintaining a tidy and welcoming environment.
  2. Administrative Support:
    • Assist with general clerical tasks such as filing, photocopying, scanning, and faxing documents.
    • Schedule appointments, meetings, and conference rooms for staff and clients.
    • Coordinate travel arrangements and accommodations for employees when necessary.
    • Handle incoming and outgoing mail and packages, including sorting, distributing, and processing shipments.
  3. Communication:
    • Serve as a liaison between clients, visitors, and internal staff, relaying messages and inquiries promptly and accurately.
    • Respond to inquiries via phone, email, or in-person, providing information or directing individuals to the appropriate resource.

  7. Miscellaneous:
    • Assist with special projects or tasks as assigned by supervisors or management.
    • Stay informed about company policies, procedures, and updates to provide accurate information to visitors and callers.
    • General knowledge of area helpful.

Requirements:

  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Excellent communication skills, both verbal and written.
