The Administrative Receptionist is the first point of contact for residents and visitors calling or visiting the United Presbyterian Home. The Administrative Receptionist handles a wide variety of situations, many changing daily, and is able to delegate and effectively communicate to Department Directors and other team members. Effective communication via in-person interaction, phone and email ensures successful completion of duties in this role.
Essential responsibilities in this role include:
- Answering phone calls as they come in, screening and directing calls appropriately
- Greeting residents and visitors as they come into the office
- Receiving payments in person or via mail, receipting and depositing the payments as they arrive
- Take requests for work orders, gathering the appropriate details and effectively communicating those to the Maintenance Team
- Sort and open mail as it is delivered, distributing it to the correct department
- Weekly preparation of "The Periscope" weekly newsletter
- Oversee meal count process, reporting monthly to Administrative Assistant for billing purposes
- Maintain resident records across various systems
- Assist with collection of new resident paperwork and file creation
- Produce and distribute letters, emails and other communications
- Maintain organized filing systems both physical and digital

- Proficiency with Windows, Microsoft Office (Word, Excel, Outlook), and the internet required.
- Ability to learn new computer programs
- Must be a good listener with a pleasant demeanor
- Ability to communicate effectively with residents, resident families and colleagues
- Experience working with older adults which shows a positive attitude toward aging and older adults with sensitivity to their needs
