Position Overview
The Administrative Assistant / Receptionist serves as the first point of contact for clients and visitors while providing administrative support to leadership and branch staff. This position plays an important role in keeping daily operations organized, coordinating executive schedules, and ensuring an outstanding customer experience.
Key Responsibilities
Administrative & Executive Support
  • Provide administrative support to executive leadership and management
  • Manage calendars, appointments, meetings, and scheduling priorities
  • Coordinate meeting logistics, agendas, and supporting materials
  • Assist with travel arrangements and related administrative tasks
  • Prepare, edit, and organize reports, correspondence, and business documents
  • Maintain confidential files and administrative records
Front Desk & Office Operations
  • Welcome clients, visitors, and vendors in a professional and friendly manner
  • Answer and direct incoming calls using a multi-line phone system
  • Assist customers by directing them to the appropriate departments

Qualifications
  • 1–3 years of experience in an administrative assistant, receptionist, office coordinator, or similar role required (3–5 years preferred)
  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree is a plus
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
