Job Description:

Under the direction of the Benefits Manager, the Leave of Absence Analyst is responsible for the administration, analysis, auditing, and continuous improvement of all Team Member leave and paid time off (PTO) programs. This role serves as the subject matter expert for leave management, absence administration, PTO plans, accommodations, and regulatory compliance. The Leave of Absence Analyst partners closely with Human Resources, Payroll, Operations, Legal, third-party administrators, and leadership to ensure the accurate administration of leave and time-off programs while minimizing organizational risk and enhancing the Team Member experience.

Essential duties include, but are not limited to:

  • Administers all oversees all Paid Time Off (PTO), vacation, sick leave, holiday, and other time-off programs, including accruals, balances, carryover provisions, payouts, and policy compliance.
  • Administers all leave of absence programs, including Family and Medical Leave Act (FMLA), Medical Leave of Absence (MLOA), Americans with Disabilities Act (ADA) accommodations, Personal Leave, Military Leave, Workers’ Compensation Leave, Parental Leave, and other state and company-sponsored leave programs
  • Partners with HRIS to maintain leave and PTO plan configurations, payroll, and timekeeping systems and collaborates with system administrators to implement enhancements and process improvements.
  • Conducts regular audits of leave cases, PTO balances, system transactions, and Team Member records to ensure data integrity, compliance, and operational accuracy.
  • Analyzes leave and PTO utilization trends, identifies risks and opportunities, and develops recommendations to improve program effectiveness, Team Member experience, and organizational efficiency.
  • Develops, maintains, and distributes reports, dashboards, metrics, and analyses related to absenteeism, leave utilization, PTO liabilities, compliance, and workforce planning.
  • Provides guidance, training, and support to Team Members, managers, Human Resources, and Payroll regarding leave policies, PTO programs, accommodations, and regulatory requirements.
  • Serves as the escalation point for complex leave, accommodation, and PTO issues requiring advanced analysis, problem resolution, and decision-making.
  • Ensures accurate recordkeeping and maintains strict confidentiality of medical, payroll, and Team Member information in accordance with HIPAA and other privacy requirements.
  • Supports internal and external audits, compliance reviews, policy updates, and strategic initiatives related to absence management and paid time off programs.
  • Identifies and implements process improvements, system enhancements, and best practices to strengthen leave administration, PTO management, compliance, and reporting capabilities.
     

Qualifications
 

Experience:

  • Bachelor’s degree in Human Resources, or a related field preferred.
  • Minimum of four (4) years of experience administering leave of absence programs, PTO plans, benefits, Human Resources operations, or an equivalent combination of education and experience.
  • Experience managing complex leave cases and accommodations within a large, multi-location organization required.
  • Experience auditing leave and PTO programs, analyzing workforce data, and producing management reports strongly preferred.
  • Advanced proficiency in Microsoft Excel, including reporting, data analysis, and reconciliation functions.
  • Ability to manage multiple priorities while maintaining exceptional accuracy and attention to detail.
  • Experience working with third-party leave administrators, HRIS, payroll, and timekeeping systems required.
  • Strong working knowledge of FMLA, ADA, PWFA, USERRA, HIPAA, COBRA, and applicable state and local leave laws.
  • High level of confidentiality and a professional demeanor required.

  • Duties and responsibilities are typically performed in a professional office setting, but there may be times where you will need to be in operating areas. In these areas, you may be exposed to environmental factors including, but not limited to, second hand smoke and excessive noise.
  • While performing the duties of this job, the employee is frequently required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms, talk or hear; and taste or smell. The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close, distance, color, and peripheral vision, depth perception and ability to adjust focus.
