Job Overview
The Executive Assistant provides high-level administrative support for company leaders to ensure they can work efficiently. Position requires a profound attention to detail and ability to multitask. The position tightly integrates with Finance, Operations, Production, Design, and Human Resources. The ideal candidate has experience managing an office, working directly with customers, and strong organizational skills.
Hours:
- Monday-Friday 40 hours/week; 8:00am – 4:30pm (30-minute lunch)
Responsibilities:
- Primary on phones. Answer and route accordingly.
- Greet and host guests that walk-in.
- Manage invoices and expenses through QuickBooks.
- Audit purchase orders to ensure accuracy.
- Manage contracts for new sales.
- Run daily, weekly, monthly and quarterly reports as needed.
- Coordinate and manage calendar for scheduled events in the office.
- Manage general email and forward to people as needed.
- Understand products and assists walk-ins in the design studio.
- Manage Google Reviews.
- Manage outbound shipping of items.
- Receive and distribute incoming mail daily.
- Clean office space at the end of the day.
- Manage maintenance vendors such as HVAC, pest control, lawncare, office cleaning, etc.
- Create flyers/graphics/PowerPoint for office functions.
- Managing office supply inventory.
- Other projects or administrative tasks as assigned.
Qualifications:
- 4+ years’ experience in an administrative role reporting directly to upper management.
- Advanced working knowledge of MS Office, Outlook, PowerPoint, Excel and QuickBooks.
- Strong listening and interpersonal skills.
- Profound attention to detail.
- Excellent time-management, professionalism, and organization.
