Job Summary

The Executive Assistant is responsible for creating and managing national accounts, programs, and reports for Sorenson. The Sorenson Executive Administrator will be in charge of the compilation, sorting and recording of invoices, and bill coding that pertain to Sorenson departments. This individual will also be in charge of any incentive programs, award programs, and communication of award programs created by the company. They will be responsible for coordinating any events for those they support. Overall, this individual will be an administrative support for accessibility services, executive travel, and assisting with long term strategic planning, overseeing daily HDQ operations, while also managing tasks of staff and personnel.

Essential Duties and Responsibilities

  • Facilitate the process of contract submission for department heads (LogicGate)
  • Facilitate cross communication across all departments as needed
  • Manage food delivery systems (GrubHub and Doordash)
  • Compile monthly department reports
  • Manage and facilitate the scheduling process for executive calendars
  • Assist in tracking executive travel and executive time off for scheduling purposes
  • Maintain & order office/building supplies
  • Assist in new employee onboarding of new Sorenson Employees
  • Organize conferences for Operations departments and other groups as needed.
  • Organize Sorenson events as needed both onsite and offsite
  • Assist in travel and expense reconciling for Sorenson Executives
  • Maintain inventory of technical supplies per direction from department heads
  • Meet with department heads quarterly to identify administrative & supply needs
  • Other duties as assigned by Sorenson Executive Administrator

Supervisory Responsibility

  • This position manages employees and is responsible for the performance management and hiring of the employees.

Travel Requirements

  • Travel Requirements: Less than 25%

Education

  • Preferred: 4 Year / Bachelors Degree

Experience

  • Minimum 5 years experience in administrative, clerical, management and/or operations experience

  • Ability to prepare accurate reports and projects

Working Conditions and Physical Requirements

Able to sit/ stand for a long period of time in an office environment

Dexterity of hands and fingers to operate a computer keyboard, mouse, tools, and to handle other computer components
