SHIFT: Monday-Friday 7am-4pm


SUMMARY: Under the direct supervision of the Program Manager, the Intake Specialist is responsible for the day-to-day reception and intake duties of Interfaith’ s fast-paced Carlsbad Service Center. The Intake Specialist is responsible for providing reception and administrative support to the Carlsbad Service Center teams, facilitating the intake process for the Social Services Department and the Employment and Economic Development Department, maintaining confidential participant data and filing system and coordinating non-case management related supportive services such as emergency food and mail services, maintaining the sites appointment calendar as well as ensuring participants are connected to the proper staff for appropriate service delivery.

  • Register job applicants and employers
  • Provide reception duties, resource guidance, emergency services, basic crisis intervention and eligibility screening for participants, callers and visitors requesting assistance and maintain an ongoing and accurate understanding of the basic eligibility requirements for Interfaith’s programs and services
  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments and keep logs, and manage general emails
  • Greet customers, ensuring every visitor, client, or guest receives a professional welcome.
  • Assist with basic security functions
  • Provide clients with initial intake paperwork reviewing for completion, entering into database ensuring there is no duplication of services, make copies of required documents for participants waiting to meet with Case Manager for assessment.
  • Administer initial steps of the housing stability program including rental asisstance; track inquiries and requests, maintain tracking system, determine preliminary eligibility based on screening, schedule appointments, collect and process initial documentation, communicate and support Case Managers throughout the process, provide screening and application assistance and necessary application follow-up support and ensure timely documentation of participant information.
  • Oversee mail services program
  • Maintain site calendar and appointment scheduling
  • Order, inventory and ensure availability of office supplies for Coastal Service Center.
  • Maintain cleanliness and organization of the lobby, front desk, pantry, administrative area, and file/copy area
  • Ensure that Interfaith and appropriate referral collateral are available to participants waiting for service
  • Submit statistical reports pertaining to job placements, demographic information, and all other related reports to supervisor in a timely manner
  • Provide services that are comprehensive, timely, effective, efficient, equitable, and client-centered.
  • Link and network clients with resources within the agency and utilize other public and private social service agencies as necessary
  • Partner with other agencies, faith centers and other community settings
  • Collaborate with volunteers, interns and other agency personnel
  • Accurately record case information within electronic databases (HMIS/Clarity, CIE, ETO, and Excel) and client files, accurately complete all necessary forms, and produce statistical reports
  • Responsible for meeting specific outcomes required by program contracts
  • Perform additional duties as assigned

Requirements:

EXPERIENCE / EDUCATION

  • 1+ years of experience working in a social services or nonprofit or equivalent setting highly preferred
  • Knowledge of North County San Diego community resources highly preferred
  • Minimum of two years’ experience in word processing, data entry, database management, and use of all MS Office software (Word, Excel, Outlook, PowerPoint) required.
  • Bilingual (Spanish/English) preferred
  • High School Diploma or equivalent
