Program Coordinator Job Description


Primary Function:

This is an administrative position. The Program Coordinator must be an organized, flexible, detail-oriented, and dependable individual. This position requires you to assist with office work by answering phones, entering computer data, and scheduling daily activities. Additionally, the Program Coordinator assists with fieldwork by covering for Program coaches and supervising program client activities. This position supports and fosters client choice. The Program Coordinator reports directly to the Program Client and Program Staff & Site Managers.


Schedule

  • Monday through Friday, 8:00am to 4:30pm or 10:00am to 6:00pm; generally aligning with the AM & PM Partial Work Program schedules

  • This position works at the Torrance, CA location

Minimum Qualifications:

  • Must be at least 18 years of age

  • Must be eligible to work legally in the United States

  • Must be able to maintain regular attendance

  • Must be able to consistently arrive on time

  • Must be able to multitask and work independently with clients

  • Must be able to meet schedules and deadlines

  • Must be an organized, flexible, detail-oriented, and dependable individual

  • Must follow all the rules and regulations listed in ICAN’s Policy and Procedures Manual and ICAN’s Code of Conduct and Ethics


Education, Experience, and Knowledge:

  • Must have a high school diploma from a recognized, accredited high school or GED

  • Some college experience preferred

  • Must have one year experience working with people with disabilities

  • Must have computer skills, including the use of Mac Products, Excel, Word, Pages, Google Docs, Google Sheets, Google Drive, and Dropbox

  • Must have strong typing skills

  • Must be fluent in English and have strong/professional English writing and grammar skills

  • Preferred bilingual in Spanish or ASL


Certifications and Other Requirements:

  • Must be CPR and First Aid certified or receive CPR and First Aid certification within the first thirty days of employment and keep it current.

  • Must have the ability to pass health screening, tuberculosis skin test, and submit a fingerprint clearance through LiveScan before starting employment.

  • Must have reliable transportation, valid California Driver’s License or valid driver’s license from another state at the time of interview and throughout employment with a clean three year driving record. Proof of current California automobile liability insurance at time of interview and throughout employment.

Physical Demands and Working Conditions:

  • Having dexterity of hands and fingers to operate standard office and computer equipment

  • Sitting or standing for extended periods of time

  • Lifting, carrying, pushing, and pulling up to 70 pounds, including pushing a wheelchair

  • Providing assistance with personal care, which includes but is not limited to, transferring an individual with little or no weight-bearing skills

  • Working in indoor and outdoor environments, as well as traveling


Professional Development:

The Partial Work Program Coordinator must be available for compensated state mandated ongoing professional development and continuing education classes for a minimum of eight hours yearly. This may require attending seminars at Regional Centers, applicable courses at other sites or online, and traveling to other conferences outside of the Los Angeles area.


Essential Responsibilities:

(These may include but are not limited to)

  • Conducting one-on-one meetings with clients to pick out their club schedule for the upcoming month

  • Substituting as directed for the Coaches

  • Scheduling and conducting program tours for potential clients and guardians

  • Record daily attendance, contact client families about daily attendance and absences

  • Program call logs, club expense reports, petty cash receipts, input of referral packet into database, daily attendance, ICANniversaries and birthdays

  • Maintaining communication between the administrative team, Partial Work Program Coaches, clients and guardians.

  • Receiving and processing phone calls, texts, slacks, and emails for the partial work program

  • All upcoming and day of client/staff schedule changes

  • Maintain client schedules, calendars, lesson plans, tv schedules, and club supply inventory

  • Keep staff meeting notes and make sure staff who are absent are informed

  • Develop and maintain curriculum for clubs

  • Develop and execute community relationships and volunteer opportunities

  • Work with Program Staff & Site Manager when training new coaches and re-training of current staff. Coordinators will help support new coaches during the shadowing process of new coach training.

  • Work as a team to achieve the mission of the PWP to empower clients to progress toward employment. Participate and lead monthly team discussions and idea sessions to develop creative work opportunities and ensure clubs and systems drive the primary mission.




The hours for the AM program are 8:00am to 4:30pm, with a 30 minute lunch break; and the PM program is 10:00am to 6:30pm with a 30 minute lunch break.
