Job Description

We are looking to place a mid-level Workflow Manager to provide support for Department of Defense (DoD) programs in Washington, DC.

JOB DESCRIPTION:

  • Serve as primary lead for managing tasks in Task Management Tool (TMT)/Enterprise Task Management Software Solution (ETMS2) or the latest task tracking system network and database. Provide administrative support by providing task/suspense management, coordination and quality assurance and control of task responses and task packages, validating completeness/accuracy of task response, conveying tasks to client organizations, and processing tasks to client and external offices.
  • Provide overall workflow management.
  • Assist with completion of select abbreviated Electronic Staff Summary Sheet (eSSS) TMT tasks, such as awards nominations and other simple tasks where a no equity reply is anticipated (determined in concern with the Associate Executive Officer).
  • Provide assistance with the development of Emails Ready-to-Send (EMRS) to external organizations to obtain coordination when offices do not have TMT/ETMS2 access.
  • Maintain and manage the task management database(s), provide associated database training, archive database records, provide technical support, and initiate executive services requests.
  • Analyze data to show current and historical trends, reporting, completion statistics, task status, and organization, and document aggregate support to senior leadership.
  • Coordinate weekly meetings with subordinate workflow team members to track and report on the status of tasks.
  • Develop a weekly MS Excel report on the status of completed on time and provide to leadership.
  • Coordinate, consolidate, develop, and maintain workflow management governance and programmatic documents including Action Officer (AO) training slides, an AO guide, and other AO support materials (e.g., signature blocks, example memos).
  • Develop, maintain, and facilitate Newcomer’s Orientation briefings, ensuring new personnel are trained on task management processes and procedures, mission objectives, and battle rhythm.
  • Execute record and file management actions in support of the records management program in accordance with published records management guidance and procedures
  • Support the internal awards programs (e.g., quarterly and annual Civilian, Military and Work Horse awards) and CE Functional annual awards program.
  • Assist with schedules and tracking executive correspondence.
  • Manage conference room schedules and execute front office support administrative tasks.
  • Provide detailed updates to leadership and stakeholders by participating in meetings/forums and coordinating, consolidating, developing, and delivering/presenting associated meeting materials (e.g., slides, after action reports, minutes).

JOB REQUIREMENTS:

  • Bachelor’s Degree in a related field.
  • Minimum of 4 years of experience leading office administration teams.
  • Experience with managing tasks in TMT/ETMS2.
  • Knowledge and experience with Air Force Civil Engineering programs.
  • Experience with Air Force and/or DoD technical writing.
  • Knowledge of Federal, state, and/or local regulations and statutes, as well as Air Force or DoD regulations and documentation is preferred.
  • Ability to obtain and maintain a current SECRET security clearance is required.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and Access.
