This position offers a flexible, hybrid working arrangement.

The Position

Wilson Elser's Milwaukee Office seeks a full-time Workflow Coordinator to join our expanding Paralegal Service Center. This Paralegal Service Center supports a wide variety of practice areas, in all of our 46 national offices. This is an excellent opportunity for experienced paralegals seeking to expand their careers into legal operations with a national firm.

Key Responsibilities:

Reporting to the Manager, the Workflow Coordinator would:

  • Monitor and manage the daily workflow of the Paralegal Service Center.
  • Serve as the central point of coordination for incoming paralegal requests.
  • Receive, review, prioritize, and assign incoming work requests based on urgency, complexity, deadlines, and staff availability.
  • Communicate with requestors to obtain missing information or clarification about paralegal projects.
  • Balance workloads across the paralegal team to maximize efficiency and productivity.
  • Track assignments from intake through completion to ensure service standards and deadlines are met.
  • Monitor paralegal assignment queues, identify workflow bottlenecks, and redistribute work when needed.
  • Track deadlines and proactively address workload concerns before service levels are impacted.
  • Escalate priority issues or resource constraints to management as appropriate.
  • If workflow coordination responsibilities are slow, utilize a timekeeper number to provide direct billable support as a backup resource.

Qualifications

  • Bachelor's degree
  • 10+ years of litigation paralegal experience with broad knowledge of legal workflows
  • Experience working in a national law firm is strongly preferred
  • Strong understanding of a variety of paralegal assignments and required effort
  • Strong organizational and time-management skills with the ability to manage multiple competing priorities
  • Excellent project management skills
  • Sound judgement in prioritization and workload allocation
  • Strong communication and collaboration skills
  • Proficiency with Microsoft Office Suite and document management systems
  • Ability to work independently while collaborating effectively across teams
  • Experience with legal workflow management software is a plus
