Job description

Xcite Automotive is hiring a Workflow Specialist at our partner dealership in Pinellas Park, FL!

Job Description: As a Workflow Specialist at Xcite Automotive, you will report directly to the Reconditioning Manager and serve as the central
point of coordination for vehicles moving through the dealership's reconditioning process. You will manage each vehicles progress from one department to the next, ensuring that every handoff is completed, documented, and directed to the appropriate next step. Your primary responsibilities will include managing workflow, tracking repair order information, communicating with the dealership and reconditioning teams, and preventing vehicles from becoming delayed or overlooked. You may also take vehicle photos or complete a full photo set when a vehicle has been missed during the regular photography process.

Responsibilities:

  • Report directly to the Reconditioning Manager and assist with the daily management of the reconditioning workflows.
  • Monitor vehicles throughout every stage of the reconditioning process.
  • Coordinate the movement of vehicles between detailing, mechanical, paint, body repair, PDR, wheel repair, tint, photography, and other departments.
  • Confirm that completed vehicles are promptly moved into the next required stage.
  • Maintain accurate vehicle statuses and ensure each department has the information needed to complete its work.
  • Monitor repair order numbers and related vehicle information for accuracy and completion.
  • Locate vehicles on the dealership property and help resolve issues that could interrupt or delay workflow.
  • Communicate regularly with dealership staff, management, technicians, vendors, and other Xcite team members.
  • Identify vehicles that are delayed, missed, or waiting for direction and take action to keep them moving.
  • Verify that required work has been completed before advancing a vehicle to the next stage.
  • Help ensure that completed vehicles reach the frontline as quickly and efficiently as possible.
  • Take vehicle photos when needed, including completing a full photo set when a vehicle has been
    missed.
  • Safely transport vehicles between dealership departments, lots, and reconditioning areas when
    needed.
  • Assist with other vehicle-related services as required to support the overall reconditioning process.

Minimum Qualifications / Must-Haves

  • Strong organizational and time-management skills with the ability to manage multiple vehicles and priorities simultaneously.
  • Excellent communication and customer-service skills.
  • Strong attention to detail and the ability to accurately track vehicle information, statuses, and repair order details.
  • Ability to recognize workflow delays, identify problems, and take action to keep vehicles progressing.
  • Confidence communicating directly with dealership employees, managers, technicians, vendors, and reconditioning personnel.
  • Dependable, punctual, hardworking, and team-oriented.
  • Professional appearance and positive attitude.
  • Ability to work effectively in a fast-paced dealership and reconditioning environment.
  • Comfortable working in dealership lots, service areas, shops, and outdoor environments.
  • Basic proficiency with mobile devices, vehicle-tracking systems, and company-provided technology.
  • Ability to follow instructions and work independently while maintaining consistent communication with management and team members.
  • Automotive or dealership experience is helpful but not required; training will be provided.

  • Previous experience in an automotive dealership, reconditioning center, body shop, service department, or automotive operations environment.
  • Experience coordinating vehicles, work orders, service schedules, or department workflows.
  • Familiarity with dealership operations and the vehicle reconditioning process.
  • Experience using dealership management systems, vehicle-tracking software, mobile applications, or similar technology.
  • Strong problem-solving skills with the ability to prioritize urgent workflow issues.
  • Previous experience coordinating multiple departments, vendors, or service providers.
  • Photography experience, particularly automotive vehicle photography.
  • Strong understanding of vehicle movement and dealership lot organization.
