Executive Coordinator

An Executive Coordinator is needed at a rapidly growing medical practice that currently has five (5) offices: Four Medical Offices with Med Spas, in Jasper, Canton, Roswell, & Rome, and a Pediatric Office in Jasper. Between the 5 locations, we currently have 18 Medical Providers, but as of June 2024 we will have at least 20+ providers between all of our locations. Our practice is rapidly growing, and we already have future ideas and plans in place to further our growth! We have amazing opportunities available with the additional growth! This position will require working directly with the company's President on a wide variety of tasks, and the flexibility to work from any of our locations as necessary.

Qualifications/Educational Requirements:

• 3-5 years of experience with a proven track record in administrative roles

• Education: MBA or CPA

• Computer proficiency with MS Office Suite, Zoom, Canva, QuickBooks, and other standard office equipment.

• Meticulous organizational skills with the ability to manage time efficiently

• Must possess a strong attention to detail

• Ability to maintain a high level of confidentiality and discretion regarding company information

• Familiarity with real estate and business terminology

• Ability to work onsite Monday through Friday.

• Ability to communicate with executives of various organizations.

• Ability to travel, as some travel may be required.

• Business letter writing experience

• Excel reports with formula experience

• Must be Punctual and Dependable

Job Description / Responsibilities:

• Answer phones professionally with a focus on business relationships.

• Maintain schedule for the company President

• Establish new relationships with local business in regards to Prestige medical brand and real estate.

• Real estate management includes managing maintenance and cleaning contracts and keeping lessee relationships.

• Book travel arrangements for executives/staff for office related events.

• Maintain physical and electronic files

• Schedule and attend meetings, take notes, distribute for review and confirmation, and maintain records

• Foster positive and productive community business relationships

• Maintain all real estate income and expenses as Excel reports

• Write business letters and emails.

• Performs a wide variety of skilled secretarial and clerical work, including but not limited to; Typing, proofreading, filing, checking and recording information. Establish and maintains record systems and files.

• Connect with community businesses and promote “PMG Partnership” model.

• Maintain schedule of paid marketing ADs in print and other areas.

• Coordinate new real estate projects

• Work with in-house book keeper and CPA for real estate

• Occasionally will need to attend after hour or weekend company events.

• Occasionally might have to drive executive to events or meetings.
