Job Description
Our client, a growing insurance firm in Delaware County, is seeking an Executive Assistant to support their COO. This role will join a busy & self-motivated administrative team and will be a high profile & integral part of the organization.

Duties include, but are not limited to:
  • Administrative support related to Company activities.
  • Vendor management and communication.
  • Email & written correspondence on behalf of the COO.
  • Manages schedules and oversees emails for COO.
  • Coordinates calendar invites for meetings and appointments.
  • Book all travel arrangements and logistics (flights, cars, hotels, etc.) for business & personal.
  • Project management for assigned projects related to the CFO and COO’s areas of responsibility.
  • Conduct all expense reports for the Executive.
  • Answers phones, emails, and forwards along messages.
  • Articulates comprehensive notes at meetings with detailed next steps and takeaways from each meeting. Follow up as appropriate.
  • Documents / Projects – capturing, formatting, and editing reports and presentations.
  • Documenting and editing records forwarded with mandating them.
  • Edits and saves documents and agreements in appropriate locations.
  • Conducting calls with internal departments and answering calls.
  • Copying and scanning documents.
  • Support company recruitment and on-boarding efforts by coordinating interviews.
  • Coordinates all recruiting efforts with other members of the administrative team.
  • Coordinate all new employee onboarding process.
  • Run errands as requested such as lunch, personal errands, etc.
  • Help with daily management and priority setting for Executives.
  • Preparing facilities with other members of the admin team for scheduled events and arrangements externally and internally.
  • Develop a thorough understanding of company ecosystem and nomenclature.
Qualifications:
  • 1+ years previous experience in professional/executive level Administrative Assistant position preferred, but not required.
  • Bachelor’s degree preferred in business (Marketing, PR, Advertising, Communications, Business Administration).
  • Strong Microsoft Office Skills (Word, PowerPoint, and Excel).
  • Personable and even tempered; capable of handling a high-stress environment with composure.
  • Adjustable to a fast-paced, demanding work environment where priorities frequently change.
  • Ability to set priorities, multi-task and meet multiple daily deadlines.
  • Ability to handle sensitive or confidential information and maintain confidentiality at all times.
  • Maintains a positive attitude and is resilient, relentless and resourceful.
  • Strong delivery and communication skills both written and verbal.
  • Proven ability to handle confidential information and be trustworthy.
  • Ability to take initiative with strong organizational and task management skills.
  • Excellent organizational skills with the ability to be a strong calendar manager (or be taught to be), including the coordination of complex executive meetings.
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Highly organized and able to manage multiple tasks toward completion.
  • High energy individual who maintains and exhibits a positive outlook toward internal and external constituents.
