Personal and Executive Administrative Assistant

Position: Personal and Executive Administrative Assistant (P&EA). The P&EA will report to the CEO and have the opportunity to interact and work directly with all team members. The P&EAs role will be to enhance the CEOs performance/efficiency by organizing and maintaining contact, travel, and event schedules, helping to coordinate large-scale attendee events, and various ancillary personal and professional tasks as they arise for the CEO.
Opportunity: We are seeking an experienced P&EA with initiative, drive, and impeccable accessibility/responsiveness, with a willingness to provide personalized support. Applicants should be organizationally proficient, fluent in Microsoft Office, have experience booking all types of travel, and be available outside of traditional business hours.
Job Duties:
- Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel and personal appointments.
- Conserve executive's time by researching and providing execution-ready options (for travel, events, etc) and establishing best practices for streamlining future like-processes.
- Welcome/maintain client relations in-person, at select events, and via phone/email
- Maintain CEO and client confidence and protect operations by keeping information
- confidential.
- Assist the team in planning of well-attended high-end corporate outings including dinners,
- retreats, multi-day events such as the Phoenix Open.
- Assist with personal tasks, such as managing household affairs, coordinating family events,
- and handling personal correspondence.
- Proactively identify opportunities to streamline executives' personal and professional
- responsibilities.
- Process payments for CEO, office, and company expenditures.
- Update/maintain the CEOs contact database.
- Contribute to CEO and companys overall success by accomplishing related results as
- needed.
Skills/Qualifications:
- Minimum 1 Year PA/EA or Similar Administrative Experience
- Microsoft Office Fluency
- Strong Organizational, Communication and Time Management Skills
- Scheduling Travel, and Event Planning Experience
- Strong Initiative / Ability to Work Independently
- Willingness to Assist with CEOs Personal and Professional Needs
- Be Proactive in Asking How/Finding Ways to Help CEO be More Efficient
- Available Outside Traditional Business Hours
