Job Summary:

  • The Intake Specialist:
  • Coordinates the referral and intake process for all service locations.
  • Routinely interacts with clients, family members, insurance providers, contractors, community providers, referral sources, and administrative and clinical staff.
Essential Functions:
  • The INTAKE SPECIALIST complies with all organizational policies and procedures regarding ethical business practices.
  • The INTAKE SPECIALIST acts as point of contact for interactions with referral sources, clients, family members, insurance providers, staff, contractors, and community providers to ensure uninterrupted care of client.
  • The INTAKE SPECIALIST services and documents claims pertaining to client policy benefits, including verifying provider eligibility and qualifications requirements.
  • The INTAKE SPECIALIST monitors and follow-up eligibility status, ensuring accurate submission of assessment, diagnosis, plan of care, and all other requirements as needed by provider.
  • The INTAKE SPECIALIST communicates accurate referral information to schedulers as well as clinical staff as needed.
  • The INTAKE SPECIALIST enters and maintains referral/intake information, as well as establishes initial client records via client care software.
  • The INTAKE SPECIALIST ensures all referral and start of care information is accurately attached to client file in client care software.
  • The INTAKE SPECIALIST reviews and reacts in a timely manner to daily and weekly reports as assigned.
  • The INTAKE SPECIALIST participates in on-call rotation as assigned.
  • The INTAKE SPECIALIST works closely with the Scheduling Department in regards to admissions, recertification, discharges, and insurance authorizations.
  • The INTAKE SPECIALIST works in conjunction with Administrator, DON, ADON, and Human Resources to assist in resolution of client needs in regards to admissions and insurance authorizations.
  • The INTAKE SPECIALIST may assist in completing and transmitting orders for contractors.
  • The INTAKE SPECIALIST may assist in informing the physician and other personnel of changes in the patient's condition and needs.
  • The INTAKE SPECIALIST attends all mandatory meetings.
  • The INTAKE SPECIALIST participates in training and in-service programs to enhance their skills and knowledge.
  • The INTAKE SPECIALIST may serve on committees and participate in the development of systems to improve care coordination.
  • The INTAKE SPECIALIST conducts themselves in a professional manner, both verbally and nonverbal.
  • The INTAKE SPECIALIST promotes a positive attitude at all times.
  • The INTAKE SPECIALIST performs other duties as assigned or as needed.
Education:
  • High school diploma or GED
Training Requirements:
  • A minimum of one year related experience preferred.
  • Knowledge of Medicare, Medicaid, and private insurance preferred.
  • Proficiency in word processing and computer skills.
  • Training or experience in human relations, customer service, time management, and organizational skills.
Knowledge Requirements:
  • Must be able to read, write, speak and understand the English language.
  • Understanding of HHA basic functions and goals.
  • A good understanding and knowledge of Medicare and Medicaid policy, and private insurance.
  • Able to make independent decisions when circumstances warrant such action.
Professional Requirements:
  • Maintains and ensures HIPAA compliance.
  • Responsible and accountable to the Administrator and CEO regarding time availability and performance.
  • Maintains good rapport and cooperative working relationships with patients, physicians, referrals sources, regulatory agencies and staff.
  • Adheres to company dress code.
  • Attends annual review and departmental in-service training.

  • The applicant does not have record of a crime, offense or misdemeanor as defined in 97.241 of the Texas Administrative Code, Title 40, and Chapter 97.
