Job Overview
The Executive Assistant will be a highly resourceful team player, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The position requires the ability to exercise sound judgment in a variety of situations and the ability to maintain a realistic balance among multiple priorities. You will collaborate with your colleagues and executive team to provide exceptional administrative support, manage projects and events, and optimize the executives' working time.
*Please note that this role requires being on site at our Fremont corporate office two to three days per week*
Day in the Life/Environment:
- Calendaring & travel arrangements for the executives will be main responsibilities:
- Keeping calendars up to date for the executives, answering questions their team members may have, setting up their meetings
- Arranging travel (often heavy international travel)
- Handling executive expenses using Workday, creating expense sheets, with submissions to be completed in a very timely manner with accuracy Projects/events as needed including offsite events and Board meetings
- High pressure environment where things need to be done quickly and efficiently, with extreme attention to detail
- Meet executives' expectations with a quick turnaround/response
- Familiar and comfortable using MS Teams, MS Office (especially Excel), SharePoint (for all of documentation), and working with a vendor for international travel (Navan a plus)
- Being able to work independently but also as a team by following standard practices and jumping in to support other EAs as needed
Requirements/Skills:
- Polished professional with relevant experience supporting a fast-paced C-level or VP for at least 5+ years
- Technology industry experience required
- Strong Excel, Word, Outlook and Teams and basic PowerPoint skills
- Quick learner who knows when to ask questions
- Highly detail oriented and focused with a positive attitude
- Possesses strong organizational skills and is accountable for actions and outcomes
- Must be able to work independently as well as be comfortable with oversight and visibility into what they are working on
- Team orientation and approach to work
- Needs to be very comfortable creating travel plans & budgets in Excel, heavy on multiple spreadsheets
- Ability to successfully coordinate events and/or projects is a plus
- Understands startup mentality
- Comfortable juggling multiple things in a day and multiple priorities
- Project management skills a plus

Compensation
Estimated Pay Range: $105,000 to $120,000
Exact compensation and offers of employment are dependent on circumstances of each case and will be determined based on job-related knowledge, skills, experience, licenses or certifications, and location.
