Job description

The Mortgage Loan Setup Specialist streamlines the front end of the mortgage process by completing all thirdparty order-outs, verifications, initial disclosures readiness, and pre-processing file scrubs. This role ensures files are accurate, compliant, and fully documented so they can move quickly from application to processing/underwriting.
  • Thirdparty orders and verifications
    • Order Evidence of Insurance (EOI), Replacement Cost Estimator (RCE), and insurance invoices
    • Obtain Written and Verbal Verifications of Employment (WVOE/VVOE)
    • Request Verifications of Mortgage (VOM) and Verifications of Rent (VOR)
    • Order IRS tax transcripts (4506C) and credit supplements
    • Secure collection and debt payoff statements
    • Order appraisal through approved AMCs
    • Pull flood certifications
    • Run DataVerify (or equivalent) reports
    • Validate property address via USPS
  • HOA/condo and insurance documentation
    • Obtain Master Insurance and HOA certifications/questionnaires
    • Coordinate condo project review/approval as required (agency/investor)
  • Title and payoff coordination
    • Request title work and manage title/escrow contacts
    • Order mortgage payoffs and confirm demands align with closing timelines
  • Compliance and disclosures readiness
    • Prepare/mark files Ready to Send (RTS) for initial disclosure documents
    • Confirm data integrity for TRIDrelated fields prior to disclosure issuance
  • File setup and data integrity
    • Perform preprocessing loan scrub; resolve data gaps and condition placeholders
    • Complete and maintain accurate file contact details
    • Enter and update loan scrub notes for downstream teams
    • Rename/index documents to loan stacking order and LOS standards
    • Pull and verify flood, USPS, and datavalidation outputs
    • Ensure all order-outs are tracked to SLA and follow up to clear exceptions

  • 1-3 years of mortgage operations experience in loan setup, disclosures, or processing (preferred)
  • Strong working knowledge of:
    • Order-outs: EOI, RCE, WVOE/VVOE, VOM/VOR, credit supplements, transcripts (4506C), flood certs, appraisal ordering, title requests, payoffs
    • HOA/condo documentation (master insurance, HOA certs, condo project eligibility)
    • TRID/ECOA basics and initial disclosure readiness requirements
    • Loan Origination Systems (e.g., Encompass, ICE), appraisal and credit bureau portals, DataVerify (or similar), flood vendors, USPS tools
  • High attention to detail with excellent document indexing and data-entry accuracy
  • Strong time management; able to prioritize multiple files and meet SLAs
  • Clear written and verbal communication with borrowers, lenders, title/escrow, HOAs, AMCs, and insurance agents
  • Problem-solving mindset to resolve documentation gaps and exceptions quickly
  • Proficiency with spreadsheets and checklists for pipeline tracking and followups
