Overview
JOB SUMMARY
The Travel Operations Manager is responsible for managing all aspects related to business travel for employees. This includes designing and maintaining the electronic employee travel request form and intranet web page and conducting trainings with PCard holders and potential travelers regarding the steps and information needed to effectively arrange travel. This position will arrange business travel for employees, identifying the most costeffective and efficient travel arrangements and making necessary reservations for accommodations as well as overseeing the annual travel vendor contracts, ensuring cost savings and favorable terms, including analyzing vendor performance to travel-related services.
Responsibilities
Essential Functions
-Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.
-Makes all arrangements and reservations as requested and Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff.
-Obtains approval from leadership for travel requests and expenses that exceed established limits.
-Advises travelers and assists with any need for specialized travel documents such as visas or passports.
-Creates, update & facilitates training for new & existing PCard Holders & travelers.
-Create and collaborate on the Travel SOP, updating bi-annually or as needed.
-Develop and execute initiatives that drive cost reductions, workflow automation, and operational excellence.
-Manage and oversee annual travel vendor contracts, ensuring cost savings and favorable terms, including analyzing vendor performance to travel-related services and eliminating unnecessary booking fees.
-Lead end-to-end project management for travel initiatives, delivering projects independently and successfully including development and implementation of an electronic travel request form
-Serve as the primary point of contact for all travel operations, ensuring processes align with company policies and financial compliance.
-Partner with teams, such as Professional Development and Onboarding, to share expertise and implement improved request processes.
-Proactively identify operational inefficiencies and implement solutions that result in measurable improvements.
-Introduce innovative solutions to improve departmental processes and interdepartmental collaboration, including working with Joint Tech to maintain the travel intranet site and travel request web form.
-Manage all aspects of the travel operations team including training, evaluations, career growth and creating a positive atmosphere for employees.
Qualifications
REQUIRED EDUCATION: High School Diploma or equivalent (higher degree accepted)
PREFERRED EDUCATION: Associates Degree (higher degree accepted)
MINIMUM EXPERIENCE:
-3 years of related work
