Job Overview:
The Spa Manager is responsible for overseeing the day-to-day operations of the spa and ensuring a smooth flow of business with a consistently high level of guest satisfaction through an active presence on the floor. The Spa Manager hires, supervises, and develops spa staff; provides training; assigns work; reconciles discrepancies; and continuously improves procedures and protocols. This role oversees the purchasing of all professional and retail products and works in conjunction with the Hotel Manager and Marketing Team to execute spa specials, revenue strategies, and sales initiatives. The Spa Manager participates in and leads initiatives to improve revenue performance, marketing efforts, and sales results, while actively engaging in the Napa community to promote the spa and hotel. As a key member of the hotel management team, the Spa Manager is an engaged participant in leadership meetings and strategic planning and reports directly to the Hotel Manager or General Manager.
Your Day-to Day:
  • Oversee the day-to-day operations of the spa ensuring a high level of guest satisfaction, and a smooth flow of business.
  • Direct, supervise, train, and assign work to the spa team.
  • Coach the team to provide consistent exceptional service and provide continual feedback regarding their job performance, service quality, grooming standards and adherence to cleanliness standards.
  • Work with the Spa Supervisor to effectively manage the front desk and respond to guest inquiries and requests via email, online and phone. Resolve guest issues as they arise.
  • Oversee efficient and accurate scheduling in Meevo to maximize the schedule. Add providers to the schedule to meet appointment demands.
  • Work at the spa front desk as needed and required, and assist with changing and restocking the locker rooms after guests depart.
  • Open and/or close the spa following the opening and closing procedures.
  • Recruit, interview, and hire all spa staff, taking a proactive approach to recruiting. Work with the Director of HR to complete all the required onboarding tasks.
  • Process bi-monthly payroll in Meevo, and enter data in HR Exponent.
  • Keep all manuals up to date and accurate.
  • Manage purchasing of all professional and retail products and oversee merchandising, inventory control, and product usage.
  • Work with the Spa Supervisor to ensure that all retail merchandise is received, priced accurately, and merchandised attractively.
  • Create seasonal specials that are compelling and communicate the specials to the Marketing Team ensuring they are launched on the website in a timely manner.
  • Work with the sales team to coordinate and promote group reservations, amenities, special requests, and events.
  • Ensure that all service standards consistently meet and exceed expectations.
  • Review spa treatment and retail sales monthly, identify trends and adjust as needed.
  • Work with the Engineering Department to ensure consistent upkeep of all spa areas.
  • Actively manage guest feedback, online reviews, and service recovery.
  • Conduct evaluations, counseling, recognition, and corrective action as needed.
  • Foster a positive, engaged, and high-performing work environment.
  • Monitor payroll costs and productivity.
  • Contribute to budgeting, forecasting, and reporting.
  • Contribute to workflow optimization and SOP development.
  • Participate in leadership meetings and cross-department collaboration.
  • Ensure compliance with health, sanitation, labor, and safety regulations.
  • Enforce departmental policies and procedures.
  • Maintain accurate systems use and reporting.
  • Additional duties may be assigned as needed to support the success of the spa and hotel.

  • Experience with spa software and intermediate computer skills including experience in Office, Outlook, and Excel.
  • Experience coaching, training, delegating, and monitoring the work of a team.
  • Demonstrated versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. Must be responsive and have a strong sense of urgency.
