We are looking for an experienced Office / Medical Practice Manager to help lead, scale, and strengthen our medical spa operations. This person will help drive team performance, sales goals, operational systems, hiring, training, accountability, patient experience, process improvement, and future growth. The ideal candidate is a strong leader, a proactive problem-solver, and someone who knows how to motivate a team while holding people accountable with professionalism, clarity, and care.


Key Responsibilities

  • Lead, manage, and hold team members accountable to performance expectations, company standards, and daily operational goals.
  • Support recruitment, hiring, onboarding, training, coaching, performance feedback, and terminations when needed.
  • Help create a positive, professional, and collaborative work environment and a team culture rooted in accountability, integrity, growth, teamwork, and fun.
  • Manage and improve daily operations across the practice, including systems, workflows, staffing, inventory, facilities, vendors, and internal communication.
  • Define, document, refine, and maintain repeatable processes through the Mystique Playbook to create consistency across the organization.
  • Track, analyze, and manage sales data, revenue goals, average ticket, client retention, team performance, and other KPIs.
  • Partner with leadership to create and manage sales programs, incentives, campaigns, promotions, and team performance strategies.
  • Address client-related escalations, refunds, complaints, and retention concerns with professionalism and urgency.
  • Support marketing, HR, compliance, training, vendor management, and team development initiatives.
  • Help prepare the business for future growth, including possible expansion into additional locations

Qualifications

  • 5+ years of office management experience required.
  • Proven experience leading and growing a team.
  • Strong sales management experience required, ideally managing a team responsible for revenue goals.
  • Experience scaling a business, opening new locations, or supporting multi-location growth is highly preferred.
  • Experience in a medical spa, cosmetic dental, dermatology, plastic surgery, retail sales, wellness, or medical practice management is preferred.
  • Strong ability to organize, prioritize, follow through, and execute quickly and accurately.
  • Comfortable managing KPIs, sales goals, revenue reports, team performance, processes, and accountability.
  • Strong leadership presence with the ability to give direct, real-time feedback in a constructive and supportive way.
  • Professional demeanor appropriate for a client-facing environment
  • Bilingual English/Spanish is a plus.
  • Valid driver's license and clean driving record preferred.
  • Role involves confidential information; a standard confidentiality agreement is required.

Pay and Benefits

  • Job Type: Full-Time, W-2 Employment
  • Base salary: $70,000-$100,000. Additional performance-based bonuses available; total compensation may reach $150,000+ depending on measurable results (details discussed during interview)

  • Employer pays 50% of employee coverage; employee is responsible for additional family member coverage.
  • 401(k) with company match up to half of 10%.
