The Role:

Accounts Receivable & Administrative Support

Melville, NY, Full time

EGC is seeking a highly organized and detail-oriented candidate to join our growing team. This role will be responsible for billing operations in our agency to ensure accurate client invoicing, tracking billable services, financial record management and coordinating with internal teams to maintain processes.

Initially, this position will also provide temporary executive support to the CEO while the current Executive Assistant is on leave. The ideal candidate is proactive, dependable and comfortable managing multiple priorities. This is an excellent opportunity for someone who is eager to learn and grow, and also enjoys a fast paced, collaborative work environment.

 

Primary Responsibilities:

Accounting

  • Prepare and issue client invoices based on campaigns, retainers, and project deliverables
  • Track billable hours, media spend, and third-party costs across multiple accounts
  • Reconcile discrepancies between contracts, scopes of work, and billed services
  • Coordinate with account managers, media buyers, and finance team to verify billing details
  • Monitor accounts receivable and follow up on outstanding invoices
  • Maintain organized billing records and documentation for audits and reporting
  • Assist with month-end close, including preparing schedules and resolving outstanding items
  • Strong understanding of invoicing, accounts receivable, financial processes, billing software

Executive Support (temp role)

  • Manage the CEO’s calendar, coordinating meetings based on priority and anticipating scheduling conflicts to resolve them proactively.
  • Travel arrangement planning and booking support for the CEO.
  • Prompt and professional communications with clients and vendors.
  • Tracking and ensuring deadlines of CEO deliverables.
  • Attend meetings as needed, taking clear notes and circulating action items.
  • Email inbox management, prioritizing time-sensitive communications
  • Support internal communications, ensuring information is shared clearly and promptly with the appropriate team members.
  • Provide administrative support to the CEO and assist with special projects as needed.
 

Qualifications:

  • Strong communication skills for cross-functional collaboration
  • Ability to manage multiple deliverables in a fast-paced environment
  • 2+ years experience with administrative support (director level or above preferred)
  • 2+ years of billing, accounting, or finance experience (marketing or agency preferred)
  • Handle sensitive and confidential information with professionalism and discretion.
