JOB OVERVIEW:


Infinity Home Services is seeking a highly organized and detail-oriented Shared Services Specialist to support the Shared Services finance team. This role provides administrative support across key finance operations including banking administration, corporate credit card program support, finance documentation management, vendor maintenance, and finance-related mail processing.


Reporting to the Director of Shared Services, the Shared Services Specialist supports the day-to-day operational execution of finance processes across the organization’s growing portfolio of brands. This role works closely with the shared services team and finance leadership to ensure finance operations are organized, well-documented, and efficiently coordinated.


This position plays an important role in maintaining the administrative infrastructure that supports finance operations across Infinity Home Services. The role is ideal for someone who enjoys is detail-oriented, comfortable working in systems, strong in Excel, and able to support operational processes in a fast-paced environment.


LOCATION:

This is an on-site position located in our Brookfield, WI office.


PRIMARY RESPONSIBILITIES:


Finance Mail & Notice Management

  • Receive, sort, and distribute incoming finance-related mail and correspondence
  • Scan and route documents to the appropriate finance team members
  • Maintain organized digital records of financial correspondence
  • Maintain a Finance Notice Log and track items such as tax notices, licensing correspondence, insurance requests, vendor notices, and bank communications
  • Escalate time-sensitive notices to the appropriate finance team members


Banking Administration

  • Administer corporate banking portals and manage user access
  • Coordinate bank account openings, closings, and maintenance
  • Maintain records of bank accounts, authorized users, and related documentation
  • Support banking integration for new acquisitions, including account setup, documentation collection, and coordination with banking partners


Corporate Credit Card Administration

  • Support administration of the company’s Ramp corporate card program
  • Coordinate card issuance, cancellations, and user setup
  • Maintain cardholder records and documentation
  • Assist with periodic reviews of cardholder accounts and credit limits
  • Support user inquiries, audit follow-up, and documentation of policies and processes


Finance Operations Support

  • Maintain finance documentation, including policies, procedures, and training guides
  • Assist with finance project coordination and operational tracking
  • Support vendor management and maintenance tasks, including vendor record updates, documentation tracking, and internal coordination
  • Provide general administrative and documentation support to the Shared Services team


REQUIREMENTS:

  • 2–5 years of experience in finance administration, accounting support, office administration, or operations support
  • Strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Demonstrated service-oriented mindset, supporting internal teams with responsiveness and professionalism
  • Ability to maintain accurate records and documentation
  • Experience working with financial systems or ERP platforms preferred (Acumatica a plus)
  • Ability to work collaboratively with cross-functional teams across the organization
