What does a scheduler do?

A surgery scheduler is a planner who oversees tasks related to administration in a surgical setting. In this role, you primarily schedule, track, and cancel appointments and process payments and insurance information. Most surgery schedulers work in a hospital or clinic, so you must be comfortable working in a fast-paced, and perhaps stressful, environment. You may work in an office setting with administrative staff or at a front desk where you interact with patients. You schedule procedures over the phone and in person and perform other clerical duties such as maintaining records while following HIPAA guidelines, filing paperwork, and coordinating with surgeons to enhance the overall organization of the surgery department.

What are the key skills and qualifications needed to thrive as a scheduler, and why are they important?

To thrive as a Scheduler, you need strong organizational abilities, attention to detail, and experience with coordinating tasks, often supported by a high school diploma or relevant degree. Familiarity with scheduling software like Microsoft Outlook, SAP, or project management tools is typically required. Exceptional communication, time management, and problem-solving skills help you effectively prioritize tasks and manage changes. These skills ensure that operations run smoothly, deadlines are met, and resources are optimally allocated.

How does a scheduler typically collaborate with other departments to ensure smooth operations?

Schedulers work closely with various departments such as operations, logistics, and human resources to coordinate schedules, allocate resources, and resolve conflicts. They often serve as a communication hub, ensuring that everyone is aware of timelines, changes, and any potential bottlenecks. Regular meetings and updates with team leads or managers are common, as is the use of scheduling software to centralize information. Effective collaboration helps prevent delays and ensures projects or shifts run smoothly.

What is the difference between Scheduler vs Project Coordinator?

Required CredentialsOften certifications in project management or scheduling softwareTypically a degree in business, management, or related field
Work EnvironmentConstruction sites, manufacturing, IT, or corporate officesOffice settings, client meetings, team collaboration

Understanding these differences helps in choosing the right career path or job search focus.

Is a scheduler a hard job?

A scheduler job involves organizing and coordinating appointments, meetings, or tasks, often requiring attention to detail and good organizational skills. The difficulty level depends on the complexity of the scheduling tasks, the work environment, and the tools used, such as scheduling software. It can be a straightforward role or more challenging in fast-paced or high-stakes settings.

Position Summary / Overview

The Master Production Scheduler is accountable for developing, maintaining, and communicating a single, integrated Master Production Schedule for the Poromerics unit at CMP Technologies. As a manufacturing site supplying a global network, Newark supports dependent demand requirements from multiple regions and manufacturing locations. The role serves as the focal point between commercial, customer service, manufacturing operations, product line marketing, and supply chain team to ensure customer requirements, inventory objectives, and operational constraints are properly reflected in the Master Schedule.

The position translates the monthly Balanced Plan into a capacity-feasible and executable weekly production plan while ensuring alignment with planned maintenance activities, production trials, qualification activities, resource constraints, inventory policies, and business priorities. The role owns the accuracy and validation of planning data used within the Master Scheduling horizon and facilitates the cross-functional alignment required to continuously validate assumptions and maintain schedule feasibility.

Key Responsibilities
Master Production Scheduling
  • Develop, maintain, and publish a Master Production Schedule for the Poromerics business.

  • Translate the Balanced Plan into a feasible production and inventory plan.

  • Evaluate monthly and weekly production requirements and inventory targets.

  • Balance customer demand, inventory policies, manufacturing constraints, and available capacity.

  • Ensure the transition from volume planning to detailed scheduling is executable and stable.

  • Conduct scenario analysis and evaluate alternatives to support business decisions.

  • Provide recommendations regarding production prioritization, inventory recovery, and constraint management.

  • Maintain a valid time-phased schedule and communicate plan changes to stakeholders.

Cross-Functional Schedule Validation
  • Lead weekly cross-functional reviews of the Master Schedule with relevant functions.

  • Validate production assumptions related to planned maintenance, asset availability, trials and qualification activities, inventory recovery plans, material constraints, and labor availability.

  • Ensure production requirements are actively challenged and reconciled prior to publication of the Master Schedule.

  • Escalate risks, assumptions, and business impacts whenever demand requirements exceed realistic manufacturing capability.

  • Drive alignment between production plans and downstream requirements from global receiving sites.

Capacity & Constraint Management
  • Perform rough-cut capacity planning and identify future capacity gaps.

  • Evaluate machine, labor, material, and operational constraints.

  • Identify demand-capacity imbalances and develop mitigation strategies.

  • Drive supply requirements smoothing and level-loading to improve schedule stability.

  • Provide decision-ready recommendations to leadership.

OMP Planning Process Ownership
  • Act as the business owner of the Poromerics Master Scheduling process within OMP.

  • Review solver outputs and evaluate planning exceptions.

  • Monitor delayed demand, inventory conflicts, infeasibilities, and planning exceptions.

  • Maintain planning parameters, rules, and policies within approved governance frameworks.

  • Support continuous improvement of planning processes and planning-system utilization.

  • Own business process execution.

Planning Data Validation & Schedule Feasibility
  • Own validation of planning data and planning assumptions for the Poromerics unit

  • Validate planning calendars, production rates, planning parameters, inventory policies, lead times, lot-sizing rules, campaign windows, and capacity assumptions used in the planning process.

  • Identify schedule-feasibility issues created by inaccurate or outdated manufacturing master data.

  • Partner with other functions and designated data owners to resolve issues affecting planning accuracy and schedule execution.

  • Participate in Management of Change reviews to evaluate planning impacts.

  • Escalate gaps in work centers, production versions, recipes, BOMs, routings, and related manufacturing master data when such gaps impact planning outcomes.

Required Qualifications
  • Bachelor's degree in Supply Chain, Engineering, Manufacturing, Business, or related field.

  • 5+ years of experience in production planning, scheduling, manufacturing operations, or supply chain planning.

  • Deep knowledge and experience using SAP PP and MM (SAP ECC).

  • Demonstrated ability to identify demand-supply imbalances, quantify business impacts, and facilitate cross-functional alignment and decision making.

  • Proficiency in Microsoft 365 applications, including Excel, Teams, Power BI and Copilot.

  • Ability to support a global business requiring periodic collaboration across multiple time zones.

Preferred Qualifications

  • Experience with advanced supply chain planning solutions such as o9, Kinaxis, or OMP is highly preferred

  • ASCM CPIM certification preferred, must be obtained once in the role

  • Experience with both, discrete and process manufacturing highly preferred

  • Experience with high supply variability preferred
