Role & Team
As an Events Manger, you will own the planning, logistics, and execution of all gaiia events. This includes trade shows, conferences, customer on-sites, partner events, team field marketing, and branded experiences. You'll work closely with Growth, Sales, Partnerships, and Leadership to make sure gaiia shows up with polish, energy, and consistency at every event we attend.
You will also represent gaiia in person at many of these events, acting as a friendly and knowledgeable face of the brand. This role is ideal for someone who loves details, thrives in fast-paced environments, and enjoys bringing people together through thoughtful, well-run experiences.
What you're going to do
Event Planning & Logistics
  • Own end-to-end logistics for all events: booth materials, shipping, travel, accommodations, schedules, promotions, and on-site coordination.
  • Manage event calendars, deadlines, deliverables, and vendor relationships.
  • Coordinate booth design, branded assets, swag, signage, AV needs, and setup/teardown.
  • Organize customer dinners, partner meet-ups, and VIP hosted events.

On-Site Support & Representation
  • Attend major industry events, greet attendees, and represent the gaiia brand with confidence.
  • Assist Sales and Growth teams during the event, including managing demos, appointments, and booth traffic.
  • Capture event photos, videos, and key highlights for social channels and internal recap.

Cross-Functional Collaboration
  • Work with Marketing to ensure assets, campaigns, and messaging align with event presence.
  • Partner with Sales to coordinate pre-event outreach and post-event follow-ups.
  • Collaborate with Product and Leadership to organize speaking opportunities, panel participation, and booth demos.

Program & Efficiency Building
  • Maintain an organized inventory of booth materials and manage shipping between events.
  • Develop repeatable processes that streamline event preparation and execution.
  • Track event performance, ROI, and lead outcomes to help shape the overall event strategy.

Must-haves
  • 2-4 years of experience in events coordination, field marketing, or similar operational role.
  • Strong organizational and project management skills with extreme attention to detail.
  • Ability to travel frequently to conferences and industry events across North America (The expectation is to attend 1-2 events per month for this role, you may go months without any travel, others may require back to back weeks of travel).
  • Confident, friendly communicator who enjoys representing a brand in person.
  • Comfortable juggling multiple events at once and working with many internal stakeholders.
