Job description

Job Duties:

  • Oversee daily scheduling across all modalities by enforcing scheduling standards, approving exam duration adjustments, proactively correcting scheduling errors, and ensuring timely patient confirmations.
  • Optimize exam capacity and patient access by managing postponed exams, outreach, rescheduling, no-shows, and pre-order workflows to identify and fill available appointment slots.
  • Monitor and ensure accuracy of exam statuses, including Arrival, Check-In, Incomplete, Aborted, Needs Correction, Tech Start, Tech Pause, Tech End, Scheduled, and Ready to Confirm
  • Oversee daily worklist review, order resolution, and reporting processes to ensure accountability for fall-offs, reschedules, utilization trends, and timely follow-up on missing orders and missed time-of-service payments.
  • Ensure compliance and data integrity through verifying required documentation, reviewing daily TOS reports, and maintaining accurate patient records in accordance with privacy, confidentiality, and regulatory standards.
  • Ensure timely completion of bank deposits three times per week, with accurate documentation scanned, retained, and properly recorded.
  • Ensure facility standards are consistently met by maintaining lobby and restroom cleanliness, safety compliance, supply availability, and completion and review of all required cleanliness and safety logs.

Education and Experience:

  • High school diploma or equivalent required
  • Associate's or bachelor's degree in healthcare administration, Business Administration, Health Information Management, or a related field preferred
  • 5-7 years of progressive experience in radiology, imaging, or healthcare operations, including supervisory or management responsibility.
  • Proven experience overseeing radiology scheduling, front office operations, multi-modality workflows, and patient access.
  • Experience using radiology systems and platforms such as EXA, RIS, and EMR.

Knowledge, Skills, and Abilities:

  • Demonstrated ability to manage staff performance, operational metrics, and service delivery outcomes.
  • Skill in optimizing patient schedules, access, and modality utilization to maximize patient volumes
  • Skill in financial oversight, cash handling controls, reporting, and accountability processes
  • Ability to analyze operational issues, identify trends, and implement sustainable process improvements
  • Ability to manage multiple priorities, resolve issues proactively, and make operational decisions in a fast-paced environment
  • Strong communication and collaboration skills with clinical staff, technologists, physicians, and leadership
