Job description

We are currently hiring a full-time (40 hours/week) Divisional Operations Coordinator in our Rochester, NY office to work closely with the Division Operations Lead and the divisional leadership team to support the day-to-day administrative and operational functions of the Transportation Division. This position is responsible for supporting the division to ensure efficient administrative processes, accurate reporting, effective coordination among departments, and consistent support of project and business operations. The ideal candidate must be able to resolve problems independently with minimal supervision and interact with people on all levels including managers, staff, and clients.
Duties
  • Maintain and organize divisional files, records, financial information and documentation to ensure accuracy, accessibility, and compliance with company standards
  • Prepare, maintain, and distribute divisional reports, performance metrics, and budget-related documentation, including expense tracking and financial reporting.
  • Provide comprehensive administrative support to divisional leadership through meeting coordination, event planning, travel arrangements, scheduling, and preparation of correspondence, reports, and presentations.
  • Develop, document, and continuously improve administrative processes, workflows, and standard operating procedures to enhance operational efficiency and consistency across the division
  • Review, proofread, and format divisional communications and materials, including letters, proposals, presentations, and other business documents.
  • Collaborate with project teams and cross-functional departments, including Finance, Marketing, and Human Resources, to support divisional operations and organizational objectives.
  • Perform other duties to support the division as assigned.

Salary Range: $65,000 - $75,000 per year
The specific salary offered may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.
Requirements
  • Expertise in Microsoft Word and Excel with an ability to navigate complicated spreadsheets, pivot tables and develop charts and graphs from presentation purposes.
  • Ability to use PowerPoint for presentation creation.
  • Ability to work independently; be a self-starter with excellent anticipation, prioritization and follow up skills.
  • Strong interpersonal skills
  • Excellent communication skills, both written and verbal.
  • Attention to detail, proof reading, and accuracy is essential.
  • Minimum of 5 years of experience working in a similar or related position
  • Bachelor's degree in business management or equivalent experience preferred
