Job Type: Temporary / Project-Based (Estimated 40–60 Hours Total)

Reports To: Business Owner / External CPA

Job Overview

We are seeking an organized, detail-oriented Bookkeeper for an immediate, short-term project to clean up and bring our financial records up to date for the 2025 and 2026 fiscal years. Our business has a clean historical baseline and highly automated systems, meaning the foundational structure is already set up.

Your primary focus will be entering historical data, reconciling accounts, and preparing our QuickBooks Online (QBO) file for final hand-off to our accountant for tax filing. All necessary documentation—including historical bank statements, invoices, and ADP reports—is fully organized and available on-site. This position is 100% on-site at our Merrillville office, offering flexible part-time or full-time daytime hours to complete the project.

Core Responsibilities

  • Data Entry & Coding: Input and match 5 to 10 customer invoices per month for 2025 and 2026 within QuickBooks Online.
  • Accounts Payable Oversight: Review automated vendor payments (95% of our AP is on auto-pay) to ensure they are coded to the correct expense accounts without duplicates.
  • Bank Reconciliation: Fully reconcile 2 business bank accounts month-by-month from January 2025 through August 2026.
  • Payroll Log Entries: Record historical payroll journals from ADP into QuickBooks Online, mapping wages, taxes, and deductions using our existing quarterly framework.
  • Accountant Hand-Off Prep: Identify and flag any discrepancies for the owner, ensuring the books are tidy and ready for our quarterly accountant's final review.

Requirements & Qualifications

  • QuickBooks Online Experience: Minimum 1 year of hands-on experience navigating and using QuickBooks Online (QBO certification is a plus).
  • Core Bookkeeping Skills: Solid understanding of bank reconciliations, accounts payable, and Cost of Goods Sold (COGS).
  • Payroll Familiarity: Basic understanding of how to read ADP payroll summary reports and record them into a general ledger.
  • Reliable & Local: Ability to work consistently on-site at our Merrillville, IN office.
  • Focused Execution: Strong data entry skills with the ability to spot duplicate entries or formatting mismatches.
