Job description

Position Overview:
We are looking for a highly motivated and detail-oriented Procurement Intern to join our dynamic procurement team. This internship provides an excellent opportunity for students or early career professionals to gain hands-on experience in procurement and vendor management processes. You will assist with various tasks related to procurement documentation, vendor research, outreach, and communication, and provide support in managing governmental and public procurement operations.
Key Responsibilities:
As a Procurement Intern, your role will include, but not be limited to:
  • File Management: Assist with organizing and maintaining both physical and digital procurement files to ensure proper documentation and easy retrieval.
  • Procurement Excel Spreadsheets: Help update and manage key procurement spreadsheets, including vendor lists, vendor contact information, and expiring contracts.
  • Design & Update Event Materials: Support the design and updates of procurement-related event flyers, brochures, and invitations to ensure a professional and consistent presentation.
  • Vendor Outreach & Research: Assist in vendor outreach activities and conduct research to identify potential suppliers and vendors, helping to support the vendor selection process.
  • Document Proofing & Updates: Review and proof various procurement documents such as solicitations, success letters, Standard Operating Procedures (SOPs), and other related materials to ensure accuracy and compliance.
  • Vendor Performance Surveys: Support the administration and analysis of vendor performance surveys to monitor and evaluate vendor satisfaction and performance.
  • Vendor Correspondence: Assist in maintaining communication with vendors, including tasks like encouraging sign-ups for BidNet and other vendor management platforms.
  • Purchasing Reports: Aid in the preparation and analysis of purchasing reports to track procurement activities, spending patterns, and budget adherence.
