Compensation: $35.00–$45.00/hour DOE with Potential for Additional Hours (Please Note: Starting base pay amount is based on the extent of position-relevant experience)

Position Summary:


Tax Relief Helpers is seeking an experienced, detail-oriented Payroll Specialist with extensive hands-on experience using Paycom to oversee and administer payroll for our California-based workforce.

This individual will be responsible for ensuring the timely and accurate processing of payroll while maintaining compliance with all applicable federal, state, and local wage and hour laws.

The ideal candidate is highly organized, analytical, and proactive, with exceptional attention to detail and a strong understanding of payroll administration, payroll tax compliance, employee deductions, and HRIS management. They should be comfortable serving as the company's primary payroll subject matter expert and collaborating with Human Resources, Accounting, and leadership to continuously improve payroll processes.

Essential Responsibilities


Payroll Administration


  • Process semi-monthly payroll accurately and on schedule exclusively through Paycom.
  • Review payroll data for accuracy, completeness, and compliance prior to payroll submission.
  • Audit employee timecards, hours worked, overtime, meal/rest premiums, PTO balances, holiday pay, bonuses, commissions, and supplemental earnings.
  • Process final paychecks in compliance with California labor laws.
  • Ensure payroll is processed accurately for new hires, terminations, promotions, compensation changes, and leaves of absence.
  • Reconcile payroll registers and identify discrepancies before payroll is finalized.
  • Process manual checks and off-cycle payrolls when necessary.
  • Maintain payroll records and supporting documentation in accordance with company policy and legal requirements.

Paycom Administration


  • Serve as the company's primary Paycom administrator, including:
  • Maintaining employee records within Paycom.
  • Managing payroll settings and employee profiles.
  • Processing employee status changes.
  • Managing earnings and deduction codes.
  • Troubleshooting payroll and HRIS issues.
  • Assisting employees with Paycom self-service functionality.
  • Supporting system enhancements and payroll process improvements.
  • Partnering with Paycom Support to resolve technical issues.
  • Maintaining payroll workflows and approval processes.
  • Assisting with implementation of new Paycom modules and functionality.

Compliance


  • Ensure compliance with:
    • California Labor Code
    • Federal Wage & Hour Regulations (FLSA)
    • IRS payroll regulations
    • Payroll tax reporting requirements
    • Garnishment orders
    • Child support orders
    • Wage assignments
    • Sick leave regulations
    • Overtime calculations
    • Final paycheck requirements
    • Wage statement compliance
    • Maintain confidentiality of payroll and employee information.

Payroll Auditing & Reporting

  • Perform payroll audits prior to each payroll cycle.
  • Reconcile payroll reports.
  • Research payroll discrepancies.
  • Generate payroll reports for management.
  • Assist Accounting with payroll reconciliations.
  • Prepare payroll-related reports for audits and internal requests.
  • Support year-end payroll processes including W-2 preparation and payroll reconciliations.

Employee Support

  • Respond to employee payroll questions professionally and confidentially.
  • Assist employees with direct deposit setup and changes.
  • Assist employees with tax withholding elections.
  • Assist with paycheck corrections when necessary.
  • Educate employees on Paycom employee self-service features.

Process Improvement

  • Identify opportunities to improve payroll efficiency.
  • Recommend payroll best practices.
  • Develop payroll procedures and documentation.
  • Assist in creating payroll-related training materials.
  • Help maintain internal payroll controls and standard operating procedures.

Required Qualifications

 

  • Minimum 3 years of payroll processing experience.
  • Minimum 3 years of extensive hands-on Paycom payroll administration experience (required).
  • Experience processing payroll for 100+ employees.
  • Strong understanding of California payroll laws.
  • Experience processing semi-monthly payroll.
  • Experience with payroll tax reporting.
  • Experience processing employee deductions and benefit elections.
  • Experience with garnishments and wage assignments.
  • Strong Microsoft Excel proficiency.
  • Excellent mathematical and analytical skills.
  • Exceptional attention to detail.
  • Ability to manage confidential information.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to work independently with minimal supervision.

Preferred Qualifications

  • Certified Payroll Professional (CPP) certification.
  • Experience supporting Human Resources functions.
  • Experience with benefits administration.
  • HRIS administration experience.
  • Experience with payroll audits.
  • Accounting or bookkeeping experience.
  • Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
