Commercial Order Entry Representative

Koch Air, LLC has been focused on the distribution of quality Carrier residential and commercial products since 1936, and is among the oldest and largest Carrier distributors. Today, Koch Air, has fifteen branch locations, 40 delivery vehicles, and more than 350,000 square feet of equipment and parts warehousing throughout the Midwest.

Koch Air is looking for a Commercial Order Entry Representative to join our Commercial Sales team!

The Commercial Order Entry Representative is responsible for accurately processing customer equipment orders and coordinating order details from entry through fulfillment. This role works closely with sales, customers, vendors, and internal teams to ensure orders are complete, accurate, and processed in a timely manner.

What You'll Do
  • Process customer equipment orders, verifying pricing, shipping details, documentation, and other order information.
  • Place orders with vendors and follow up on order status as needed.
  • Maintain complete and organized job files and communicate order discrepancies to the appropriate team members.
  • Monitor orders to ensure required signatures, special instructions, and supporting documentation are received.
  • Provide professional and responsive customer service by phone and email to internal and external customers.
  • Coordinate with sales and other departments to support timely communication and successful order fulfillment.
  • Follow established Koch Air policies and procedures.
  • Perform other duties as assigned in support of company goals and objectives.
What We're Looking For
  • High school diploma or equivalent required; college degree preferred.
  • Minimum of 2 years of complex customer service or related experience preferred.
  • Strong customer service, relationship-building, analytical, and problem-solving skills.
  • Excellent organization and attention to detail with the ability to prioritize multiple tasks.
  • Self-motivated, adaptable, and collaborative with a positive, professional attitude.
  • Proficiency with computers and Microsoft Office applications.
Physical Requirements
  • Ability to occasionally lift or exert up to 20 pounds of force and frequently exert up to 10 pounds.
  • Ability to use a computer and phone for extended periods.
  • Ability to perform primarily sedentary work for extended periods.
