About the Opportunity
Our client is seeking an Operations Administrative Assistant to support executive leadership and assist with the daily administrative, operational, and coordination needs of a growing utility and infrastructure organization. This role is ideal for a highly organized professional who enjoys working across multiple departments and managing a variety of administrative responsibilities.

Key Responsibilities

Administrative & Executive Support
• Provide administrative support to executive leadership and department managers
• Prepare, organize, and track business correspondence, regulatory documents, and company records
• Maintain organized files, spreadsheets, tracking logs, and operational documentation
• Follow up on open items and ensure timely completion of assigned tasks

Operations & Utility Coordination
• Support requests from property owners, developers, and contractors
• Assist with documentation related to utility service requests and approvals
• Coordinate information between operations, engineering, and accounting teams
• Maintain facility, utility, and site-related records

Operations & Technology Support
• Maintain vehicle records, registrations, insurance information, and assigned equipment tracking
• Coordinate recurring vendor services and facility maintenance activities
• Assist with inventory management and supply ordering for office and field operations
• Support customer service and operational ticket tracking activities

Vendor & Accounting Support
• Assist with vendor onboarding documentation and account setup requirements
• Coordinate with accounting regarding invoices, payments, and related administrative tasks
• Support recruiting activities including job postings and candidate coordination
• Utilize internal business systems, portals, and software platforms as needed

General Office Administration
• Manage office supplies, records, and administrative processes
• Coordinate with vendors and service providers
• Support companywide administrative and operational initiatives as assigned

Required Qualifications

• 2 to 5 years of experience in administrative support, office coordination, operations support, executive assistance, or related roles
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities and deadlines effectively
• Excellent written and verbal communication skills
• Proficiency with Microsoft Outlook, Word, and Excel
• Experience maintaining records, spreadsheets, and tracking systems
• Ability to handle confidential information professionally
• Dependable, proactive, and self-motivated work style

Preferred Qualifications

• Experience supporting utilities, construction, engineering, infrastructure, property management, or regulated industries
• Familiarity with QuickBooks, GeoTab, vendor portals, or similar business systems
• Experience coordinating vendors, permits, licenses, registrations, insurance documents, or compliance-related activities
• Experience supporting field operations, work order systems, or customer service functions
