Job description

Office Associate

The Illinois Environmental Protection Agency (IEPA), Bureau of Water (BOW), Administrative Support Unit is seeking a motivated Office Associate, Option 2, to provide essential support to the technical and professional staff within the Administrative Support Section. We are looking for a candidate who is highly organized, detail-oriented, and adaptable in a collaborative, fast-paced environment. Strong communication skills—verbal, written, and electronic—are crucial for working effectively with both internal and external stakeholders. The benefits of working at the IEPA include a 37 ½ hour work week, a generous salary and benefits package (paid time off for vacation, sick or personal leave, holidays) pension and other retirement benefits, tuition reimbursement, and insurance eligibility on day one (medical, dental, vision, and life).

Essential Functions:

  • Performs variety of complex and specialized clerical information duties utilizing a personal computer, and related office machinery/equipment for the technical/professional staff in the Administrative Support Section, Bureau of Water (BOW)
  • Performs database file maintenance such as, Agency Environmental Management System (AEMS), Loan & Grants Tracking System (LGTS), Integrated Compliance Information System (ICIS), etc. utilized by the Bureau of Water
  • Serves as office receptionist. Maintains complex and specialized filing systems for the Bureau of Water. Handles mail correspondence for the Bureau of Water. Performs other duties as required or assigned which are reasonably within the scope of the duties.

Minimum Qualifications:

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  • Requires skill in keyboarding accurately at 45 words per minute.

Preferred Qualifications:

  • Prefers extensive knowledge of office practices, procedures and programs.
  • Prefers extensive knowledge of composition, grammar, spelling and punctuation.
  • Prefers working knowledge of basic mathematics.
  • Prefers elementary knowledge of agency programs, rules and regulations.
  • Prefers the ability to follow oral or written instructions.
  • Prefers the ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  • Prefers the ability to utilize a personal computer with knowledge of Microsoft Word, Access and Excel software.

Conditions of Employment:

  • Requires ability to pass a name-based background check.

Work Hours: 8:30 am - 5:00 pm Monday - Friday 1 hr lunch
