Position Overview The Illinois Department of Transportation is seeking to hire an Office Associate. The successful candidate will gather necessary information required for research and data to technical staff and also maintain and update the Bureau of Claims’ file systems, serve as receptionist, process incoming checks, and type invoices/vouchers for payment to claimants and businesses ensuring accuracy of payee information and payment amount. The Bureau of Claims handles confidential and personally identifiable information daily. The successful candidate will ensure the security and confidentiality of this information. Essential Functions Gathers necessary information required for research and data to technical staff. Updates and maintains the computerized Bureau of Claims file system by accessing the Risk Evaluation And Legal Management database (REALM). Maintains the Bureau of Claims file system. Serves as receptionist. Keyboards invoices and vouchers for payment to claimants and businesses ensuring accuracy of payee information and payment amount. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above. Minimum Qualifications Requires knowledge, skill, and mental development equivalent to completion of high school. Requires two years of office experience. Requires ability to keyboard accurately 45 wpm. Preferred Qualifications Prefers ability to follow oral and written instructions. Prefers extensive knowledge of composition, grammar, spelling, and punctuation. Prefers extensive knowledge of office practices, procedures, and programs. Conditions of Employment Requires successful completion of a background check and self-disclosure of criminal history. This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
