Job description

Job Title: Mailroom Associate

Reports To: Client Services Supervisor, Client Services Manager, or equivalent leadership

Schedule: Monday–Friday | 7:30 AM – 4:30 PM

Responsibilities:

  • Process and manage all accountable (signature-required) packages received from USPS, FedEx, UPS, DHL, and all courier, messenger, and third-party delivery services, ensuring accurate tracking and documented receipt.
  • Receive, sign for, sort, and scan incoming mail and packages into the company tracking system throughout the day, ensuring timely and accurate processing.
  • Deliver and collect mail and packages on assigned floors in accordance with established delivery schedules and service standards.
  • Maintain current knowledge of employee locations, departmental moves, and organizational changes to ensure accurate and timely mail and package delivery.
  • Investigate, track, and resolve missing or delayed packages, communicating status updates as necessary.
  • Identify mislabeled, undeliverable, or unidentified mail and packages and return them to the appropriate sender or carrier.
  • Prepare outgoing FedEx, USPS, and other courier shipments, ensuring proper packaging, labeling, and compliance with domestic and international shipping requirements.
  • Maintain knowledge of carrier pickup schedules, shipping deadlines, and domestic and international shipping procedures.
  • Operate and maintain mailroom equipment and cross-train on all mailroom systems and machinery to ensure operational coverage.
  • Maintain organized mail sorting racks, work areas, and a clean, safe, and fully operational mailroom.
  • Monitor and replenish paper supplies for copier and multifunction devices on assigned floors.
  • Restock and organize office and mailroom supply cabinets on assigned floors, as needed. • Support departmental requests and special mailroom projects as assigned.
  • Escort vendors, couriers, messengers, and catering personnel to the appropriate floor or designated recipient to ensure secure and timely deliveries.
  • Safely lift and transport packages weighing up to 25 pounds and breakdown pallets as needed.
