Position Summary:

Ferrari Express Inc. is seeking an organized and reliable Human Resources Clerk to provide clerical and administrative support to the Human Resources Manager and broader Human Resources team. This is a junior, task-focused role ideal for someone looking to begin or build a career in human resources. The Human Resources Clerk will assist with day-to-day Human Resources operations including document preparation, record maintenance, onboarding support, and general office coordination. The role requires strong attention to detail, discretion with confidential information, and the ability to follow established procedures accurately and on time.

Key Responsibilities:

Leadership & Transformation

HR Records & Filing

  • Maintain and organize employee records in both physical and digital filing systems, ensuring documents are accurate, complete, and properly filed.
  • Upload and file executed employment documents (offer letters, agreements, acknowledgment forms) to designated shared drives in a timely manner.
  • Assist with data entry and updates in ADP Workforce Now under the direction of the Human Resources Manager.
  • Assist with data collection and record maintenance related to sustainability reporting initiatives.
  • Retrieve and prepare employee records or documents when requested by the Human Resources team.

Onboarding & Offboarding Support

  • Prepare and assemble new-hire paperwork packets, including offer letters, onboarding checklists, and required policy acknowledgments.
  • Collect, track, and flag outstanding pre-employment documentation (references, CTPAT acknowledgments, I-9 forms) ahead of employee start dates.
  • Assist with E-Verify and I-9 processes under the supervision of the Human Resources Administrator.
  • Support the new-hire orientation process by coordinating logistics, printing materials, and preparing workspaces or system access requests as directed.
  • Issue candidate rejection communications through Human Resources Hub as instructed by the Human Resources Manager.

Payroll Support

  • Verify that expense reimbursement forms and timekeeping records are complete and submitted to the Human Resources Administrator for payroll processing.
  • Flag missing or incomplete payroll documentation to the Human Resources Administrator promptly.
  • Assist with basic data entry tasks related to payroll under close supervision.

Recruitment Assistance

  • Post approved job openings on designated job boards and internal platforms as directed.
  • Acknowledge and track incoming applications; assist with scheduling interviews and coordinating candidate communications.
  • Coordinate background check and drug screening requests through established vendor processes.

Workers’ Compensation & Leave Clerical Support

  • Collect and organize medical documentation and return-to-work releases related to workers’ compensation claims; route to the Human Resources Manager.
  • Follow up with employees and managers to ensure required incident report forms are completed and submitted on time.
  • Enter leave requests (bereavement, personal) into ADP as directed; confirm entries with the Human Resources Manager.

General HR Administrative Support

  • Draft routine correspondence (letters, emails, notices) from templates provided by the Human Resources Manager.
  • Manage incoming Human Resources department mail, scan and route documents as needed.
  • Assist with scheduling, meeting coordination, and calendar management for the Human Resources team.
  • Coordinate departmental correspondence and maintain communication with employees, managers, and external contacts.
  • Respond to employee inquiries and provide professional customer service via phone, email, and in-person interactions.
  • Utilize critical thinking and attention to detail to identify discrepancies and escalate issues as needed.
  • Support internal audits and assist in gathering documentation for external and third-party audit requests.
  • Support Human Resources special projects and administrative tasks as assigned.


Travel Requirements:

This position may require travel to Ferrari Express Inc. offices, branches, and facilities as needed to support Human Resources operations. Travel may include inter-office visits within the New York metropolitan area, travel across state lines to other company facilities throughout the United States, and occasional international travel to support global Human Resources initiatives. The Human Resources Clerk must be willing and able to travel when requested by management, maintaining professionalism and adherence to company travel policies at all times


Minimum Qualifications:

Required:

  • High school diploma or GED required.
  • 0–1 year of administrative, clerical, or office experience (Human Resources exposure a plus but not required).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn HR systems such as ADP Workforce Now.
  • Strong attention to detail and ability to follow established processes accurately.
  • Ability to handle sensitive and confidential information with discretion.
  • Good written and verbal communication skills.
  • Reliable, organized, and able to manage multiple tasks with guidance.

Preferred:

  • Associate’s degree or coursework in Human Resources, Business Administration, or a related field.
  • Prior experience in a clerical or administrative role within an Human Resources, logistics, or regulated-industry environment.
  • Familiarity with ADP Workforce Now or similar HRIS platforms.
  • Interest in pursuing an HR career path.
