PAYROLL CLERK
Monday-Thursday 7AM-5PM

Position Summary

The Payroll Clerk is responsible for maintaining accurate employee timekeeping and payroll-related records for approximately 200 employees, including both straight-time and shift workers. This role supports site operations through time entry, attendance tracking, reporting, and administrative assistance while ensuring confidentiality and compliance with company policies.

Essential Job Duties and Responsibilities

  • Manage and maintain employee timekeeping records for approximately 200 employees, ensuring accuracy and completeness.
  • Enter employee time daily and process weekly payroll time records in accordance with established deadlines.
  • Maintain employee rosters, operational site reports, and other assigned reports.
  • Support site management by tracking employee vacation balances and preparing attendance reports.
  • Provide administrative support to site leadership as needed.
  • Update and maintain employee files while safeguarding confidential employee information.
  • Verify time records and resolve discrepancies in coordination with supervisors and employees.
  • Screen and route incoming telephone calls professionally and efficiently.
  • Generate routine reports and provide payroll-related information to management as requested.
  • Ensure compliance with company policies, procedures, and payroll practices.
  • Perform additional clerical and administrative duties as assigned.

Qualifications

Education

  • High school diploma or equivalent required.

Experience

  • Previous payroll, timekeeping, administrative, or clerical experience preferred.
  • Experience working with employee attendance and scheduling records is an asset.

Skills and Competencies

  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to work independently and prioritize multiple tasks in a fast-paced environment.
  • Basic understanding of payroll and timekeeping systems preferred.

Reports to: Site Manager / Payroll Supervisor
