What you will do:

QXO is seeking a highly motivated Fleet Administrator. This role is responsible for supporting the day-to-day administration and compliance of the company's fleet operations. This role ensures accurate vehicle records, manages the disposition of fleet assets at end of life, fuel programs, and maintains compliance with DOT, OSHA, CARB, WAIRE, and other regulatory requirements through the management of telematics. The position partners closely with vendors, branch operations, EHS, and fleet leadership to support driver onboarding, branch support, and continuous improvement initiatives. The ideal candidate is highly organized, detail-oriented, and experienced in fleet administration, logistics, or transportation operations, with strong analytical, communication, and problem-solving skills.

This role can be based out of: Coppell, TX and/or Atlanta, GA.

  • Schedule and track routine maintenance, inspections, and repairs.
  • Assist in the acquisition and disposal of fleet vehicles.
  • Monitor and report on fleet performance metrics such as utilization, fuel efficiency, and downtime.
  • Ensure compliance with DOT, OSHA, and other regulatory requirements.
  • Coordinate with vendors, service providers, and internal departments.
  • Process invoices, purchase orders, and expense reports related to fleet operations.
  • Support driver onboarding and training documentation.
  • Respond to inquiries from drivers and management regarding fleet policies and procedures.
  • Maintain accurate records for registrations, titles, IFTA, and annual inspections.
  • Enforce adherence to Fuelman policies and ensure compliance with DOT, CARB, WAIRE, and other federal/state regulations.
  • Oversee Samsara and HOS systems; track KPIs and leading indicators to drive continuous improvement.
  • Support Samsara training for Branch Managers and assist with incident investigations (EHS leads) and DOT failure reviews (Fleet leads) - limited training capacity
  • Oversee driver phone inventory and respond to service requests - recommend move to IT support
What you will bring:
  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • 2+ years of experience in fleet administration, logistics, or related field.
  • Proficiency in Microsoft Office Suite and fleet management software.
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Knowledge of vehicle maintenance and regulatory compliance is a plus.

Preferred Skills:

  • Experience with GPS tracking systems and telematics.
  • Familiarity with DOT regulations and fleet safety standards.
  • Analytical mindset with attention to detail.
