Palmetto Yacht Management is a growing marine logistics and yacht services company supporting complex operations across transportation, service coordination, and customer management. We rely heavily on modern systems and automation to keep our business efficient, scalable, and accurate.

We are seeking a Senior Operations Administrator to take ownership of our administrative, financial, and operational systems while supporting leadership with high-level coordination and execution.

Position Overview

This is a senior-level administrative role, not an entry-level position. The ideal candidate is highly organized, technologically fluent, and comfortable owning systems such as Salesforce, QuickBooks, and HR platforms.

You will serve as a central hub between operations, finance, HR, and leadership.

Key Responsibilities

  • Serve as the primary administrator and power user for Salesforce
    • Data integrity, workflows, reporting, and user support
  • Manage QuickBooks processes including:
    • Invoicing coordination
    • Financial tracking
    • Reconciliation support
  • Oversee payroll processing and coordination
  • Administer BambooHR for employee records, onboarding, and HR workflows
  • Manage company operations within Google Workspace (Drive, Docs, Sheets, Gmail, Calendar)
  • Create and maintain operational documentation and procedures
  • Support leadership with reporting, forecasting, and operational insights
  • Coordinate across departments to ensure smooth administrative execution
  • Identify inefficiencies and proactively recommend improvements

Required Experience

  • 5+ years in a senior administrative, operations, or business support role
  • Hands-on experience with:
    • Salesforce (required)
    • QuickBooks (required)
    • Payroll administration
    • BambooHR or similar HRIS
    • Google Workspace
  • Strong attention to detail and data accuracy
  • Ability to manage multiple systems and priorities independently
  • Excellent written and verbal communication skills

Preferred Qualifications

  • Experience in marine, logistics, transportation, or service-based industries
  • DOT, FMCSA, IFTA, HUT, UCR Compliance
